Summary:
As the Senior Administrative Assistant for the Vice President of the Finance, Medical Division, and their Leadership Team, you will provide proactive, organized, and detail-oriented administrative support to help leaders and teams operate effectively. This role will assist with calendar coordination, meeting logistics, travel and expenses, communications, documentation, and team events while handling confidential information with discretion and communicating professionally across all levels of the organization.
What You Will Do:
- Provide comprehensive administrative support to the Vice President of Medical Finance and their Leadership Team, including complex calendar management, meeting coordination, travel arrangements, expense reporting, and day-to-day administrative support.
- Coordinate leadership and team meetings, employee engagement activities, customer meetings, town halls, and other business events, including scheduling, logistics, materials, and follow-up.
- Maintain team calendars, events, distribution lists, shared resources, meeting materials, records, and documentation to support organized and effective team operations.
- Gather, compile, verify, and organize information for reports, presentations, communications, memos, and other business materials, ensuring accuracy, clarity, and alignment with company standards.
- Draft, proofread, edit, and format communications and presentation materials, partnering with internal resources as needed to deliver professional and accurate content.
- Support administrative and operational needs across the Medical Finance team, including organizational reporting, workforce tracking, onboarding coordination, and team-related activities.
- Build effective relationships and communicate professionally with leaders, employees, internal partners, and external contacts to coordinate information, route requests, and ensure timely follow-up.
- Handle confidential and sensitive information with discretion, integrity, and sound judgment while supporting special projects and process improvement initiatives.
What You Need:
Required :
- High School Diploma or Equivalent
- 3+ years' relevant experience supporting Senior Leadership in a similar capacity
- Proficiency with Microsoft Office programs
Preferred :
- Associate or bachelor's Degree
$28.01 - $38.75 USD Hourly
Travel Percentage: 10%
