About the position

We are seeking an HR & Administrative Assistant to join our team, based out of our Portland office. This isn’t just a clerical role; you will be the engine that supports global workforce. From ensuring our international teams have seamless travel logistics to helping new hires feel welcome from day one, your work will directly impact our organizational culture and move our mission forward.

What

You’ll Do
  • People Operations: Support the full employee lifecycle by assisting with payroll accuracy, benefit enrollments, and coordinating new hire logistics.
  • Global Logistics: Manage complex international travel arrangements and maintain our Learning Management System (LMS) and safety databases.
  • Office Stewardship: Act as the heartbeat of our Portland headquarters—managing office functions, digital filing systems, and other logistics.
  • Executive & Project Support: Provide high-level assistance for Board meetings, grant management documentation, and the implementation of forward-thinking office policies.
Qualifications
  • A Detail-Oriented Professional: You have 2–3 years of administrative experience and a proven track record of handling sensitive payroll and HR data with total confidentiality.
  • A Tech-Savvy Collaborator: You are proficient in MS Office (Word, Excel, PPT) and comfortable working across time zones with remote teams.
  • An Efficient Multitasker: You can pivot from processing expense reports to organizing a board meeting without missing a beat.
  • Safety-Conscious: You understand that a strong safety culture starts with organized records and clear procedures.
Requirements
  • Associate degree required; bachelor’s degree preferred
  • Experience with payroll processing is a must.
  • Experience with an HRIS system, Net Suite preferred.
  • Ability to work on‑site in Portland, ME at least 3 days per week.
  • Physical ability to sit for prolonged periods and occasionally lift up to 15 lbs.
