A well-established and highly respected law firm in Portland, Maine is seeking a detail-oriented and proactive Legal Assistant to support its Trusts & Estates practice. This position provides key administrative and legal support to attorneys handling estate planning, probate, trust administration, and related matters.

The ideal candidate is organized, professional, and comfortable managing multiple priorities in a client-facing environment.

Key Responsibilities
  • Provide administrative and legal support to Trusts & Estates attorneys
  • Prepare, revise, and proofread estate planning documents, including wills, trusts, powers of attorney, and health care directives
  • Assist with probate and trust administration matters, including document organization, court filings, and correspondence with clients, courts, and financial institutions
  • Maintain and manage electronic and paper client files, ensuring accuracy and confidentiality
  • Coordinate document execution, notarization, and recording
  • Track deadlines, court dates, and key matter milestones
  • Communicate with clients in a professional and responsive manner
  • Assist with billing, time entry, and general practice management tasks
  • Provide additional administrative support to the practice group as needed
Qualifications
  • Prior experience as a Legal Assistant or Administrative Assistant in a law firm required
  • Experience with Trusts & Estates, probate, or estate planning strongly preferred
  • Strong organizational skills and exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Outlook, Excel); experience with document management and billing systems is a plus
  • Professional demeanor and strong commitment to client service
  • Ability to work independently while collaborating effectively with attorneys and staff
