This is a full-time position at our Portland, OR headquarters.

The position will provide financial, administrative and clerical support by entering and maintaining projects in project database; maintaining project documentation and insurance certificates; processing expense reports; entering data; according to established policies and procedures in an efficient, timely and accurate manner, and carrying out other accounting duties as may be assigned by the Accounting Manager.

What You Will Do:
  • Review project information submitted by Project Managers, enter project data including budgets, resource allocations, billing information, and documentation in Ajera
  • Maintain, track and update existing project information in Ajera with contract modifications, budget revisions, and resource additions and allocations provided by Project Managers
  • Assist Project Accountants with reporting, invoice requirements and documentation, resource loading and maintaining accurate and complete billing rates
  • Support Project Accountants with client data entry and maintenance in Ajera
  • Assist Project Accountants to create and maintain subconsultant profiles, master service agreements, task orders, insurance certificates and 1099 information in Ajera
  • Support Accounts Payable with expense report entry, review, gather and attach documentation verifying compliance with Company Expense Reimbursement and Travel Policy
  • Assist Accounts Payable to create and maintain vendor profiles, addresses, and 1099 documentation
  • Provide accurate and effective data entry, document preparation and records management relative to the department in accordance with records retention policies and procedures
  • Other accounting tasks assigned by Accounting Manager
Requirements
  • Minimum 2 years of comparable work experience or 2 years of accounting classes at university level
  • Demonstrated proficiency with Microsoft Office Suite and Adobe Acrobat
  • Familiarity with accounting programs and software, Ajera or other Deltek system preferred
  • Familiarity with accounting principles and practices; basic understanding of financial concepts (overhead, markups, profit, cost/project accounting, etc.)
  • Must be able to work independently, particularly during deadlines and be proactive to ensure tasks are completed
  • Excellent written and verbal communication skills
  • Strong organizational and documentation skills
  • Proficiency in juggling multiple deadlines is required

This position will require in-office presence at the Akana office in Milwaukie, Oregon – just off Highway 224 with ample free parking. A hybrid option will be considered once the 90‑day probationary period has been successfully completed.
