Position Summary
As an Accounts Payable Specialist, you will support the Finance Department by processing accounts payable transactions, responding to vendor inquiries, assisting with time and billing functions, and maintaining account records. You will report to the Accounting Manager and may have remote or hybrid work options depending on business needs.
Responsibilities- Review and code invoices and expense reports in accordance with firm policies
- Prepare weekly check runs and process manual checks as required
- Prepare ACH payment extractions for vendor payments and employee expense reports
- Reconcile vendor monthly statements and resolve any outstanding issues with vendors
- Monitor lease due dates and reconcile rental operating expenses and payments
- Set up and maintain vendor accounts; prepare 1099 forms at year‑end
- Research and code transactions in suspense accounts
- Maintain and resolve support queue inquiry tickets related to Accounts Payable
- Administer credit card transactions, reconcile credit card statements, gather receipts, code, and perform data entry
- Assist the Time & Billing team with reviewing time and invoices
- Monitor cell phone and MiFi device usage
- Perform other duties and projects as assigned
- Associate’s or Bachelor’s degree in accounting (preferred) or equivalent combination of education and experience
- 1–3 years of related accounts payable experience, or equivalent balance of education and work experience
- Prior experience in a professional services firm is a plus
- Strong computer skills, with proficiency in Microsoft Office, especially Excel, and experience using accounting software systems
- Sound understanding of financial concepts and ability to perform calculations for a variety of transactions
- Superior organizational and follow‑through skills, with strong attention to detail
- Ability to meet deadlines and effectively prioritize in a fast‑paced, varied workload
- Excellent verbal and written communication skills
