- Answer and route incoming calls with professionalism and accuracy.
- Greet visitors and direct customers, vendors, and internal guests to the appropriate resources.
- Provide general assistance to walk‑in customers and support a welcoming front office environment.
- Provide intermittent administrative support to the Sales Department.
- Print and mail customer statements monthly.
- Process incoming and outgoing mail; manage employee mailboxes.
- Complete occasional office‑related errands as needed.
- Provide administrative assistance to the Human Resources Department.
- Assist with document preparation, filing, scanning, and employee record maintenance.
- Support HR initiatives requiring coordination, communication, scheduling, and timely follow‑through—executed with complete confidentiality and professionalism.
- Communicate customer‑related updates, issues, and opportunities to the Sales Manager and Inside Sales Team.
- Manage conference room schedules.
- Oversee breakroom supplies and common‑area upkeep.
- Coordinate breakfast and lunch orders for the Division, including setup and cleanup.
- Book occasional travel for upper management.
- Perform other duties as assigned to support Division operations.
- Minimum of two (2) years of administrative support experience, including receptionist duties and multi‑line switchboard experience.
- Proficiency with Microsoft Windows and current versions of Microsoft Office.
- Highly experienced in Microsoft Excel with the ability to create, maintain, and update spreadsheets, documents, and reports with accuracy.
- Demonstrates the highest degree of professionalism, discretion, and confidentiality.
- Strong verbal and written communication skills; able to engage effectively with individuals at all organizational levels.
- Customer‑service focused, composed, and adaptable in a fast‑paced environment.
- Highly organized and detail oriented, with the ability to manage multiple priorities.
- Flexible, approachable, and collaborative with a strong team mindset.
- Advanced proficiency in Microsoft Office including data entry, formatting, editing, and document management.
- Standard schedule: 8:00am–4:00pm, with a 7:30am start time one day per month.
- Professional office environment.
- Ability to sit or stand for extended periods and regularly lift 10–25 lbs.
- Frequent use of standard office equipment.
