Job Summary

The Office of Student Activities ( OSA ) Office Assistant supports the Office Manager and helps with multiple clerical and hands-on tasks per work shift. The Office Assistant helps manage daily office operations and assists with programming for all Clubs and Organizations, ASUP , CPB , The Beacon, The Log, KDUP , and Late Night Programming, as well as numerous OSA events.

The Office Assistant assists with OSA social media, creating posts for marketing events, giveaways, and highlighting students and student interests. The ideal candidate is excited about providing excellent customer service, and enjoys a fast-paced office environment.

Core Duties
  • Greets and helps visitors in a friendly and efficient manner
  • Fields general inquiries about UP and the programs we support via phone and email
  • Assists with OSA social media (primarily Instagram) by creating content to advertise events and to highlight and engage UP students
  • General office duties such as copying, scanning, shredding, and distributing mail
  • Opens and closes the office in the morning and evenings
  • Makes reservations for Pilots Express
  • Assists with multiple activity sign-ups
  • Schedules reservations for the Commons table
  • Approves and posts flyers around campus

    Assists other departments within OSA as assigned by your supervisor
  • Establishes and maintains relationships with fellow Office Assistants
  • Other relevant duties as assigned
Minimum Qualifications
  • Ability to learn Microsoft Word/Excel/Outlook/Canva
  • Familiarity with Instagram and ability to learn to design creative and attractive social media posts
Preferred Qualifications
  • Availability during vacant shifts
  • Strong customer service, interpersonal, and communication skills
  • Effective multitasker, with the ability to be organized and flexible
  • Ability to develop and maintain strong working relationships with coworkers
  • Capable of handling customer service questions and concerns in a calm and positive manner
  • Ability to communicate clearly and effectively in person and in writing
