This position is remote but you must live in the Portland, Oregon metropolitan area.

About This Volunteer Role

We are looking for an organized, detail-oriented Administrative Coordinator to help keep our programs running smoothly. This volunteer role supports job seekers and mentors across various program activities.

Key Responsibilities
  • Track orientation attendance, receipt and completion of forms and assessments
  • Send updates and follow-up emails to job seekers during onboarding
  • Manage the list of job seekers waiting to be assigned mentors, coordinate assignments, and update the tracking spreadsheet
  • Maintain job seeker status changes (active, successful, inactive); send success email templates and facilitate success story sharing at Monday meetings
  • Solicit Google reviews and distribute the Lessons Learned survey to successful job seekers
  • Maintain the list of newsletter recipients
  • Monitor and respond to the info email inbox
  • Send event reminders and assist with mock interview coordination
  • Assist with supply ordering and purchasing, and support weekly in-person and online meetings as needed
  • Coordinate speaker calendar and logistics, including follow-up after talks
  • Post documents for mentors and speakers, update the online calendar, and make small updates to web pages
Skills Required
  • Attention to detail, multitasking, and follow-through
  • Comfortable with email communication and professional correspondence
  • Proficient with spreadsheets (Google Sheets and Excel), Gmail, MS Word or Google Docs
  • Experience or quick learning ability with Zoom and Linked In
  • Self‑motivated and able to work independently
  • Prior professional or volunteer administrative experience (highly desirable)
Time Commitment and Logistics

Flexible, primarily remote volunteer role. Estimated commitment of 5-10 hours per week, typically about 1 hour per day, on 4-5 days a week. Work schedule can be negotiated to fit your availability.
