Job Summary
The Part‑Time Administrative Coordinator provides high‑level administrative, scheduling, and logistical support to the President Emerita of Wake Forest University. The role involves 10‑15 hours per week, primarily remote but with occasional on‑site work in Charlotte, NC.
Essential Functions- Calendar management and scheduling: coordinate meetings, speaking engagements, events, and virtual appointments; prioritize commitments; arrange logistics; maintain accurate records.
- Travel coordination: arrange flights, lodging, transportation, itineraries; prepare schedules and supporting materials; assist with reimbursements.
- Correspondence and communications: draft, proofread, format routine correspondence; manage incoming emails, mail, and requests; maintain organized records.
- Office coordination and operations: oversee supply needs, basic office operations, process invoices and reimbursements, arrange hospitality for visitors.
- Event and engagement support: assist with logistical planning, coordinate materials, attendee information, and scheduling for events and special projects.
- Bachelor’s degree preferred; relevant experience may substitute.
- Minimum 3 years of executive or senior‑level administrative experience.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Capacity to manage multiple priorities independently.
- High level of discretion and ability to handle confidential information.
- Proficiency in Microsoft Office, Google Workspace, and virtual meeting platforms.
- Professional demeanor and strong interpersonal skills.
- Experience in higher education, nonprofit, or executive office environments.
- Experience supporting senior leaders or public figures.
- Familiarity with travel coordination and event logistics.
- Sound judgment, discretion, and strict adherence to confidentiality requirements.
- Flexibility and responsiveness.
- Strong time management.
- Ability to work independently with limited supervision.
