ZGF Architects is seeking an Executive Assistant to join our Portland, OR office. The ideal candidate will provide high-level administrative support to firm leadership and assist with general office operations. They should be well organized, comfortable managing complex calendars, and capable of responding to correspondence on behalf of leadership. This individual should be able to draft documents, coordinate logistics, and help executives prepare for their daily schedules and responsibilities.
Responsibilities- Maintain complex calendars and schedule business-related meetings.
- Proactively increase Partner capacity by managing priorities, anticipating needs, and exercising discretion and independent judgment.
- Assist executives in preparing for meetings.
- Coordinate domestic and international travel arrangements in alignment with ZGF travel policy, including flights, lodging, ground transportation, and visas where applicable.
- Respond to correspondence, incoming calls, and document requests on behalf of leadership.
- Prepare expense reports and timesheets for Partners in a timely and accurate manner.
- Draft presentations, meeting notes, and other documents for executives.
- Track Partner licensing and continuing education requirements.
- Bachelor's degree.
- 5+ years of experience in a similar role.
- Proficiency in Microsoft Office Suite.
- Experience managing multiple priorities, administrative coordination, and logistics.
- Strong organizational skills, attention to detail, and the ability to multitask while maintaining excellent follow-through.
- Strong written and verbal communication skills.
$74,700 - $87,150 annually, depending on skills and experience.
