CEO Office Executive Assistant
Inside the role, the CEO Office is a key partner to the CEO both in operational and strategic matters and we are looking for a highly organized and motivated individual to join our team. Working hand-in-hand, the CEO Office team provides a well-organized and trusted back office that handles operational complexity, ensures continuity, and creates the environment for the CEO to focus on critical strategic and leadership topics.
Through structured preparation, constant information flow with stakeholders across the organization, and disciplined coordination, the team ensures the CEO is consistently well informed and prepared, and positioned to engage effectively in every meeting and decision context.
The Executive Assistant supports these objectives by operating as a trusted business partner to the CEO and CEO Office, driving operational excellence, managing complexity, and enabling leadership effectiveness at the highest level. The Executive Assistant ensures seamless execution of day-to-day priorities while maintaining strong alignment across senior stakeholders, leadership forums, and global interfaces. This position handles preparation and planning for internal and external meetings, arranges detailed domestic and international travel plans, composes and prepares communications, and ensures appropriate preparation for each calendar item in close coordination with the Support Manager.
This role requires a high level of confidentiality, organizational know-how and finesse, flexibility to assist with short notice requests, and ability to juggle multiple tasks simultaneously.
What You Drive at DTNA
- Serve as a strategic partner to the CEO by orchestrating a highly dynamic calendar, anticipating needs, aligning priorities to leadership cadence and strategic commitments, and proactively resolving conflicts to protect executive focus and time.
- Lead end-to-end planning and execution of domestic and international travel, including complex, time-sensitive itineraries, commercial and charter arrangements, hotels, ground transportation, and strategic recommendations that balance efficiency, cost, and executive priorities.
- Work autonomously and exercises strong business judgment, making decisions on the CEO's behalf as appropriate to direct priorities, maintaining organizational rhythm, and supporting effective decision-making.
- Act as team lead of DTNA administrative assistants, organizes and hosts huddles, and ensures common processes, procedures, and best practices are followed company-wide.
- Coach and train new administrative assistants regarding company culture, structure, policies, and procedures while continually improving outdated practices and guidance.
- Mentor and guide other admins supporting OpCom members.
- Support event planning activities and execution.
- Delegate tasks and projects to other administrative support staff to coordinate and execute meetings and events, including large-scale leadership gatherings such as LCAM.
- Act as a central point of coordination and a primary representative of the CEO Office with senior leaders, internal teams, external partners, and visiting executives, ensuring professionalism, credibility, and a high-quality executive presence.
- Own recurring CEO Office deliverables, including global travel calendar submissions and annual Trucks "TN" calendar planning, in close alignment with stakeholders in Germany, Mexico, and across the OpCom network to support organizational cadence and continuity.
Additional Responsibilities
- Route incoming authorization requests (contracts / purchase requests) for internal review prior to obtaining CEO approval
- Prepare and process expense reports, adhering to DTNA's travel policy
- Meet, greet, and interact with internal and external visitors and partners; provide hospitality and administrative support as needed
- Stay knowledgeable of company's top customers and maintains contact information for key client relationships
- Effectively handle sensitive, confidential, and proprietary information. Establish and maintain confidential files and records, releasing documents and other information requiring the use of discretion as to the nature of extent of distribution
- Review operating practices and implement improvements where necessary
- Act as point of contact and help enforce DTNA's record retention policy in the CEO Office
- File and retrieve documents as necessary
- Create Purchase Requests, monitor, and track department Purchase Orders, submit invoices for payment; work with Controlling, vendors, and AP to resolve billing issues
- Prepare and process various documentation and reports, including non-disclosure agreements
- Manage office and business needs for supplies, materials, tools, IT equipment, and other resources
- Perform research for special assignments and prepare PowerPoint or other audiovisual graphic presentations
