Administrative Assistant II - Central Office (Full Time, Temporary)
8 hrs/day (1.0 FTE). This is a temporary position ending 12/18/2026. First‑round interviews will be conducted by review of applicants' video submission.
Position SummaryThis position provides secretarial and office‑management support for a major division or subdivision of the school district. The incumbent serves as the senior administrative/clerical staff member responsible for supporting the office administrator and, where appropriate, providing administrative leadership to office staff.
CompensationSalary will be determined by the NCSD/OSEA Collective Bargaining Agreement.
Retirement PlanThe district participates in the Oregon Public Employee Retirement System (PERS and OPSRP). The district contributes the employer portion; an employee portion of 6% is required via payroll deduction once eligibility (six full months of work or 600 hours for part‑time employees) is met.
Schedule and Work CalendarExpected hours: 8:30 AM – 5:00 PM (subject to change). Work calendar: 260 days.
Minimum Qualifications- Two years post‑high‑school education preferably leading to an associate degree; highly related and comparable experience can be substituted.
- Three (3) years of progressively responsible office experience involving independence of action and decision‑making responsibilities. For positions involving fiscal and/or bookkeeping responsibilities, experience must include accounting and bookkeeping procedures.
- Advanced secretarial, administrative, and clerical skills including typing and filing; knowledge of basic office equipment and technology; keyboarding skills of at least 40 words per minute; proficiency with office software for documents, spreadsheets, presentations, and databases.
- Excellent grammar and proofing skills; ability to maintain accurate and reliable records and data.
- Ability to work effectively in an environment with frequent interruptions while concentrating and producing accurate work amid changing priorities.
- Ability to interact with students, parents, staff, and community members personally, telephonically, and electronically in a warm and confident manner.
- Initiative and ability to work with minimal direction; sound judgment and decision‑making capabilities essential.
- Ability to maintain confidentiality in all matters.
- Demonstrated sensitivity to the cultural, ethnic, gender, and religious diversity of students, staff, parents, and community members.
- Bilingual and bicultural skills.
- Provide secretarial support to the office administrator and other staff, including maintaining the appointment calendar, scheduling meetings, formatting and typing correspondence, staff evaluations, forms, memoranda, and reports, and managing travel arrangements and related paperwork.
- Manage office budget, supplies, and equipment, assisting staff with equipment usage and administrative procedures, and handling repair and maintenance orders.
- Maintain office records and files, ensuring consistency with state and district policies; coordinate with the Human Resources Office for records requests and online data management.
- Prepare payroll forms, arrange for substitutes, and maintain staff time, attendance, and leave records.
- Set up and maintain office budgets and expenditures, including tracking from multiple funding sources and preparing budget and fund reports as required.
- Maintain office inventory records, process requisitions, and manage purchase order payments.
- Undertake special projects related to office work, including tracking initiatives, collecting data, preparing schedules and timelines, coordinating meetings, and producing project documentation.
- Conduct research and prepare reports and background information as requested by the office administrator.
- Perform other duties as assigned.
