POSITION DESCRIPTION

The Admissions & Enrollment Coordinator provides administrative and operational support for the Office of Admissions, ensuring prospective students experience a seamless and welcoming admissions process from inquiry through matriculation. This position serves as the first point of contact for many prospective students and applicants, manages admissions records and application processing, coordinates admissions events and communications, and supports the Enrollment Advisors in achieving enrollment goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES Front Office & Student Support
  • Serve as the primary receptionist for the Office of Admissions by greeting prospective students, families, and visitors in a professional and welcoming manner.
  • Answer, screen, and route incoming phone calls and emails related to admissions and enrollment.
  • Respond to inquiries regarding academic programs, admissions requirements, application status, deadlines, campus visits, and general enrollment information.
  • Schedule appointments, campus tours, interviews, and virtual meetings for Enrollment Advisors.
  • Manage the admissions email inbox and ensure timely responses to prospective student inquiries.
  • Coordinate visitor parking, campus maps, and admissions materials for campus guests.
Admissions Operations
  • Process applications for admission, including first-time, transfer, second-degree, and international applicants.
  • Create and maintain applicant files, ensuring all required documentation is received and accurately recorded.
  • Monitor application progress and communicate with applicants regarding missing materials and next steps.
  • Maintain accurate applicant records within the CRM and student information systems.
  • Conduct regular audits of applicant records to ensure data integrity and compliance with institutional, state, and federal regulations, including FERPA.
  • Prepare applicant files and supporting documentation for admissions review.
  • Assist with admissions decision processing and enrollment communications.
  • Produce routine admissions reports, enrollment dashboards, and data as requested.
  • Coordinate the transfer of admitted student records to the Registrar at the beginning of each academic term.
Event & Office Coordination
  • Coordinate logistics for admissions information sessions, campus visit days, virtual events, and orientation activities.
  • Register the university for recruitment fairs and manage associated event logistics.
  • Prepare admissions materials and recruitment packets for events and prospective students.
  • Maintain inventories of admissions publications, promotional materials, and office supplies.
  • Coordinate admissions mailings and fulfillment of printed materials.
  • Assist with maintaining admissions calendars, event schedules, and internal office procedures.
Team Support
  • Provide administrative support to the Admissions team.
  • Collaborate with Financial Aid, the Registrar, Student Services, Marketing, and Academic Affairs to support a positive applicant experience.
  • Recommend improvements to admissions processes and workflows to increase efficiency and enhance service.
QUALIFICATIONS Required
  • Associate’s degree or equivalent combination of education and experience.
  • Two or more years of experience in an administrative, customer service, admissions, enrollment, or higher education support role.
  • Exceptional organizational and time management skills with strong attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency with Microsoft Office and experience working with databases, CRM systems, or student information systems.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
Preferred
  • Experience working in higher education or admissions.
  • Experience using CRM platforms such as Radius, Slate, Salesforce, or similar systems.
  • Experience preparing reports and maintaining data integrity.
  • Familiarity with student records, FERPA, and admissions processes.
