Student Office Assistant, CAS Advising Suite

The Student Office Assistant provides customer service and supports operational work at the College of Arts & Sciences front desk. Students work with Academic Advisors, Assistant Dean for Students, and Associate Dean for Students to provide hospitality in the Advising Suite and may represent the department in alternate venues on campus. The role includes greeting visitors, checking in students for advising appointments, scheduling appointments, answering phones, sharing resources, and assisting with general office projects such as social media, newsletters, and data entry.

We seek a candidate who is comfortable communicating via email, phone, and in person with students, parents, faculty, staff, administrators, and other university community members. The position is largely teachable; we look for someone with a welcoming demeanor, question‑asking skills, initiative, reliability, and professionalism. Hours range from 10–15 per week, with priority given to those who can accommodate 15 hours. The office operates Monday–Friday 8:30 am–4:30 pm;

schedules are within those hours.

Core Duties
  • Greet and respond to visitors positively as the first point of contact.
  • Communicate Advising Suite services and resources in person, by phone and email.
  • Guide visitors to appropriate resources, including the website and handouts.
  • Check students in for advising appointments and schedule appointments in Bookings.
  • Answer telephones, direct calls, and take messages.
  • Contribute to marketing and promotions, including social media efforts.
  • File electronic records in Etrieve.
  • Perform other assigned duties.
Minimum Qualifications
  • Self‑motivated, flexible, and willing to take on a variety of tasks.
  • Ability to maintain confidentiality.
  • Excellent interpersonal skills for interacting with students, parents, staff, and faculty.
  • High-level organizational skills and attention to detail.
  • Ability to take initiative and follow through on tasks.
  • Collaborative approach to work.
  • Basic computer skills (Microsoft Office, Adobe Acrobat, Canva, Google, Excel).
Preferred Qualifications
  • Familiarity with UP technology and systems.
  • Prior clerical work experience.

Terms and Hours

Approx. 10–15 hrs/week. Positions are part-time with flexible scheduling, Monday–Friday 8:30 am–4:30 pm.
