Title: Administrative Assistant - Housing

Location: Totem Lodge - 1438 SE Division Portland, OR 97202

Schedule: This is an in-person position, Monday through Friday, 8:30am - 5.00pm

Wage Range: $22.00 – $26.00 Hourly, Non-Exempt

Position Overview

The Housing Administrative Assistant provides administrative support to Housing Services staff with high volume interaction with staff and clients including, greeting, and directing clients, answering phones, word processing and data entry, and other duties as assigned.

What You Will Do
  • Answer multi-line phone system, directs calls, take messages in a courteous and professional manner.
  • Greet clients and assist them as needed. Strong communication skills and customer service.
  • Schedule client appointments and maintain schedules and calendars.
  • Provide general information about NARA NW programs, as requested.
  • Perform typing assignments, data entry and general office support as assigned. Be familiar with Microsoft Office (Word, Excel, Outlook, Teams, and PowerPoint).
  • Help provide an update to referrals on the Coordinated Access entry referral list.
  • Support outreach efforts by attending work and cultural events, staffing informational tables, and connecting participants with available resources.
  • Sort, screen, and distribute incoming mail and process outgoing mail following postal regulations.
  • Perform clerical functions incidental to reception activity.
  • Assist with client chart maintenance (assemble, print forms, sort, file)
  • Coordinate special events: meetings, trainings, etc.
