Job Summary

The College of Arts & Sciences is seeking a dependable and organized Student Assistant to support daily mail, package, and print distribution services throughout the College of Arts & Sciences. This position reports directly to FACT (the Faculty Academic Coordinator Team) and plays an important role in ensuring timely delivery of faculty materials by sorting and distributing mail and packages, delivering print jobs, and notifying faculty and staff when items have been delivered.

In addition to managing daily mail, package, and print distribution services, the position supports the maintenance and organization of shared workrooms and office supply areas throughout the College of Arts & Sciences.

We will be hiring 1-3 student workers for this position, depending on qualifications and availabilities, to ensure these tasks are being handled on a daily basis, with shifts lasting 2 hours between 8:30 a.m. and 12 p.m. Successful candidates will be self-motivated, reliable, and comfortable working independently while maintaining consistent responsibilities. Core Duties
  • Sort and distribute incoming campus mail, packages, and print jobs to faculty and staff mailboxes across College of Arts & Sciences departments.
  • Send email notifications to faculty and staff when print jobs or packages have been delivered.
  • Coordinate with FACT regarding special delivery requests or time-sensitive materials.
  • Maintain confidentiality when handling faculty, staff, and student materials.
  • Monitor inventory levels in departmental workrooms, copy rooms, and common office supply locations throughout the College of Arts & Sciences.
  • Restock paper, toner (as directed), and general office supplies in designated workrooms.
  • Organize supply storage areas and maintain orderly inventory locations.
  • Report low inventory levels and supply needs to FACT .
  • Assist with receiving, organizing, and distributing office supply deliveries.
  • Conduct routine checks of printers and copiers to ensure paper trays are stocked.
  • Notify FACT of copier, printer, or equipment issues requiring service, and submit service requests to Kelley Create.
  • Other relevant duties as assigned.
Minimum Qualifications
  • Dependable with strong attendance and punctuality.
  • Ability to work independently and manage recurring daily responsibilities.
  • Strong organizational skills and attention to detail.
  • Ability to communicate professionally through email and in person.
  • Ability to follow established procedures and maintain accurate records.
  • Comfortable walking between academic departments and carrying mail, print materials, and small packages.
  • Basic computer skills, including Microsoft Outlook and Microsoft Office applications.
  • Ability to maintain confidentiality.
Preferred Qualifications
  • Familiarity with University of Portland campus buildings and departmental locations.
  • Previous customer service, office assistant, or clerical experience.
  • Experience using Microsoft Outlook and Microsoft Excel.
  • Student in good academic standing.
Physical Requirements
  • Ability to walk extensively throughout the College of Arts & Sciences buildings and campus.
  • Ability to lift and carry mail bins, print materials, and packages weighing up to 25 pounds.
  • Ability to bend, reach, and transport materials between offices and mail delivery locations.
