Job Summary

An Administrative Assistant in a long-term care facility supports the facility's daily operations by performing a variety of clerical and administrative tasks. Key responsibilities include managing communication, scheduling appointments, maintaining records, and assisting with resident-related paperwork. They also play a role in coordinating with other departments and ensuring smooth communication between staff, residents, and their families.

Essential Duties and

Job Responsibilities
  • Answering phones, responding to emails, and relaying messages to appropriate personnel.
  • Scheduling resident appointments, staff meetings, and other facility events.
  • Maintaining accurate and up-to-date resident records, employee files, and other important documents.
  • Typing, filing, photocopying, and distributing documents.
  • Assisting with resident paperwork, such as admissions and discharges, and coordinating with other departments for resident care.
  • Ensuring adequate inventory of office and medical supplies.
  • Facilitating communication between different departments and staff members.
  • Entering and updating information into the facility's computer system.
  • Assisting with basic bookkeeping tasks, such as invoice processing.
  • Providing friendly and helpful point of contact for residents, families, and visitors.
  • Other duties as assigned.
Requirements: Requirements and Qualifications
  • One or more years of experience in a clerical position in healthcare setting.
  • Have a passion for caregiving and enhancing the quality of life for our residents
  • Excellent verbal and written communication skills are essential for interacting with residents, families, and staff.
  • The ability to manage multiple tasks, prioritize effectively, and maintain detailed records
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • The ability to provide positive and helpful experience for residents and visitors.
  • The ability to address issues and find solutions efficiently
