Executive Assistant to Executive Dental Director & CEO

The Executive Assistant (EA) to Executive Dental Director (EDD) & CEO provides high level, confidential, executive administrative support to the EDD & CEO, VP Business Strategy & Administration, VP Legal Services & Government Relations, and the PDG Board of Directors. Serves as a key coordination point for Board governance, executive communications, leadership operations, corporate administration, and enterprise-wide meetings and events in support of PDG and PDG MSO objectives.

This is a hybrid position, with a combination of remote and in-office work. Regular onsite presence at the Kaiser Permanente Building is expected based on business and operational needs. Candidates must reside in, or be willing to relocate to the area.

Education/Experience

Required:

A.

A. degree in Business Administration or related field with 5 years of office experience including 3+ years’ experience as a secretary or administrative support to executive level position or to several departments.

Knowledge, Skills and Abilities Required:

Experience supporting executive level leaders, governing boards, or senior leadership teams in a healthcare, dental or corporate environment

Demonstrated ability to manage sensitive governance activities, executive communications, and multiple enterprise priorities with a high degree of discretion and professionalism.

Excellent phone skills, note taking, ability to set up and maintain filing systems, meeting, travel and event coordination skills and knowledge.

Ability to draft organization-wide communications, research complex topics and provide reports.

Strong MS Office suite, solid presentation, and communication skills (written and verbal), and the ability to problem solve in a customer service manner.

Ability to work with and maintain confidential information.

Experience with Access and Outlook or other electronic mail/calendar software. Demonstrated proficiency of data entry, coordination of multiple projects, ability to organize and report data in useful formats, plan/prepare meeting materials, calendaring, etc.

Work with minimal supervisory oversight, independently, and as part of a small team. Ability to track and audit work. Display willingness to make decisions within scope of responsibilities; exhibit sound and accurate judgment and support and explain reasoning for decisions. Include appropriate people in decision-making process and make timely decisions.

Preferred:

Experience supporting senior clinical executives with complex clinical and administrative scheduling requirements.

Demonstrated experience coordinating complex provider, clinical, operational, and governance calendars involving multiple stakeholders and competing priorities.

Experience supporting leaders with dual clinical and administrative responsibilities, including coordination of patient care, operational, quality, regulatory, governance, and executive leadership activities.

Strong project coordination and project management skills.

Exceptional executive presence and ability to interact effectively with dentists, board members, senior executives, and external stakeholders.
