The Executive Assistant & Marketing Coordinator is a full-time, on-site role based in the Portland, Oregon Metropolitan Area. This position provides daily executive administrative support, including managing calendars, coordinating meetings, organizing travel, preparing expense reports, and maintaining confidential records. The role also assists with general office administration, such as document preparation, filing, and communication with internal and external stakeholders. On the marketing side, the coordinator helps develop and update marketing materials, supports proposal preparation, maintains digital and print content, and assists with event coordination and social media updates.
The person in this role works closely with leadership and project teams to ensure timely communication, professional presentation of the company’s brand, and smooth operational support.
- Demonstrated ability in Executive Administrative Assistance and Administrative Assistance, supporting senior leaders and managing office operations.
- Experience providing Executive Support, including calendar management, meeting coordination, travel arrangements, and preparation of executive documents.
- Skill in preparing and tracking Expense Reports with attention to accuracy and compliance with company policies.
- Strong Communication skills, including clear written and verbal communication and professional interaction with clients, vendors, and internal teams.
- Proficiency with office productivity tools (e.g., Microsoft Office or similar), and comfort learning new software systems.
- Experience or interest in basic marketing coordination, such as assisting with proposals, marketing materials, and social media updates.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- High level of professionalism, discretion, and reliability when handling sensitive information.
- Previous experience in construction, architecture, engineering, or related industries is beneficial but not required.
- Associate or bachelor’s degree in business, communications, marketing, or a related field, or equivalent combination of education and experience.
