The Senior Program Coordinator supports day‑to‑day program activities, championing NEEA tools such as Asana, MS Office Suite, Teams, Mural, Salesforce, and SharePoint. This hybrid position requires at least two days per week onsite in the Portland, OR metro area and eligibility to work in the U.S. (no visa sponsorship).
Key Responsibilities- Lead coordination and expedite program activities, work streams, and schedules to meet team goals and program timelines.
- Adhere to best meeting practices: schedule logistics, develop materials (agendas, pre‑reads, Mural boards, presentations), and capture notes/action items.
- Develop, edit, and proofread program materials (presentations, talking points, reports, dashboards, meeting notes, statements of work) for internal and external audiences.
- Develop Program Work Plans annually in Asana with Program Manager(s); keep them updated with cross‑functional team members and team leads.
- Proactively communicate with team members to alleviate scheduling issues, bottlenecks, and interdependencies, resolving critical path delays.
- Escalate issues to manager/program manager(s) as needed.
- Provide project management support: create detailed workback schedules, support RFP/RFQ processes, organize documents, and coordinate team reviews of key deliverables.
- Advocate for and model best practices; champion NEEA tools and processes.
- Serve as SharePoint site owner for assigned program and product groups, offering continuous improvement recommendations.
- Manage confidential correspondence with discretion.
- Act as point‑of‑contact for Salesforce entries; reinforce best practices and create dashboards/reporting as needed.
- Coordinate with external market partners and stakeholders to prepare and organize meetings, ensuring accountability for deliverables.
- Support financial updates: accruals, invoice approvals, budget tracking, and forecasting with Program Managers and other team members.
- Assist with program reporting, dashboards, and draft preparation for internal/external audiences.
- Expedite or manage contracts, including scopes of work and budgets for identified projects in collaboration with subject matter experts and team leads.
- Provide primary point-of-contact for discreet work streams alongside Program Managers.
- Engage in ad hoc projects as needed.
This position has no direct supervisory responsibilities, but may manage outside contracts with limited scope and budget in support of program activities on behalf of Program Managers and team leads.
Qualifications- Bachelor’s Degree.
- 2‑3+ years of project coordination and/or project management experience.
- Proficiency in Microsoft Excel, One Note, Outlook, PowerPoint, SharePoint, Word, and remote/hybrid Teams webinar setup.
- Proficient in tracking/reporting results on Asana, Salesforce, and spreadsheet development.
- Strong written and verbal communication skills; ability to present information and data effectively.
- Experience developing and managing project plans/schedules and influencing internal and external teams to execute and meet deadlines.
- Proactive communication to expedite work, identify issues, and offer solutions.
- Ability to collect and synthesize data to support decision making.
- Critical thinking skills to determine next steps and follow up.
- Motivation to solve problems, results and outcome driven.
- Attention to detail, accuracy, and thoroughness in own work and oversight of others.
- Comfortable presenting on discreet activities and asking questions in meetings with stakeholders.
