Job Title – Front Desk Team Member

FLSA Classification – Non-exempt

Salary – $21.50 per hour, days and hours will vary

Benefits – sick leave prorated by FTE.

Work Environment – Position is on-site in Portland, Oregon, in the Friendly House Crawford Building. One building is non-ADA compliant.

Supervision – None

Union – This position may be union-eligible and is represented by ILWU Local 5.

Job Description Summary

Front Desk Team Members are a vital part of the Front Desk and represent the face of Friendly House. This position is customer-focused with the goal of exceeding internal and external customers’ expectations and needs. The Front Desk Team Member will have exceptional customer service and communication skills. Maintain a welcoming environment while performing administrative duties such as data entry, scheduling, filing, managing emails, maintaining records, and using tools like Microsoft Office and SharePoint to support daily operations.

They will be dependable, flexible, and a team player. This position requires team members to work with others, multitask, work well under pressure, and deal with demanding situations in a positive manner. The schedule for this position includes opening shifts (starting at 6:45 am) and closing shifts (ending at 7 or 8 pm).

Essential Functions
  • Greet and welcome all guests and direct them to appropriate room or staff person as needed
  • Answer all incoming phone calls
  • Keep up to date on FH classes, events, and activities to provide accurate information to inquiries both in-person and via phone/email
  • Support and promote all programs of Friendly House
  • Maintain facility security by following safety procedures and controlling access via the front desk (monitor sign-in sheets, member check-in)
  • Ensure the facility is presentable and tidy (light janitorial work)
  • Set up and break down meeting rooms, as assigned
  • Perform other support duties such as photocopying, as assigned (for all programs)
Qualifications
  • Ability to work effectively with diverse constituencies
  • Proficiency in Microsoft Office Suite and comfortable using technology including copiers, printers, facility scheduling systems, visual design and publishing tools
  • Ability to work independently and as a team member and to interface with others throughout the organization
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • Ability to maintain positive interactions in stressful situations with customers of all ages and backgrounds
  • Experience in de-escalation or willingness to learn
  • Interest in working directly with people who may be experiencing a variety of challenges, including poverty, aging, homelessness, and significant health issues
  • Additional Eligibility Requirements
    • Must be authorized to work in the United States
    • Must successfully complete a background check
    Physical Demands

    Employees must be able to remain in a stationary position for extended periods of time (up to 30-50% of workday), with the ability to move and traverse the office and work environment. Use hands/fingers to handle or feel. Operate the computer and other office equipment. Occasionally ascend stairs or walk on uneven terrain. May need to stoop, kneel, crouch, bend. The ability to see or observe detail at close range.

    May lift or move items up to 30lbs. May be exposed to smells, cold/heat, and outdoor environments.
