Customer Service Representative – Sample Receiving
We are seeking a detail-oriented Customer Service Representative – Sample Receiving to join a fast-paced laboratory environment in Portland, OR. This role is essential in ensuring accurate intake, tracking, and communication of client samples within our laboratory systems.
You will serve as a key point of contact for clients while supporting internal lab operations, ensuring accuracy, efficiency, and exceptional service throughout the sample receiving process.
What You'll Do- Manage incoming client requests and coordinate sample receiving workflows from intake through system entry
- Enter and verify sample information using laboratory systems (LIMS/SAP) with high accuracy
- Assign unique sample IDs and ensure all documentation aligns with client submission forms
- Communicate with clients regarding sample status, receipt confirmation, and general inquiries
- Coordinate with lab staff to ensure timely processing and workflow efficiency
- Prepare and send sample receipt confirmations and related communications
- Generate or verify pricing quotes as needed
- Maintain accurate client records, logs, and documentation
- Identify and escalate issues related to sample tracking or system discrepancies
- Support continuous improvement efforts to enhance efficiency and service quality
- Strong customer service experience in a professional or technical environment
- Excellent data entry skills with a high level of accuracy and attention to detail
- Ability to multitask and manage time-sensitive requests in a fast-paced setting
- Strong written and verbal communication skills
- Comfortable working with databases, systems, and computer-based workflows
- Ability to follow procedures and maintain compliance standards
- Prior experience in laboratory, healthcare, logistics, or administrative support is a plus
