About the OpportunityA growing laboratory services organization is seeking a detail-oriented Customer Service Representative to support sample receiving operations and client communications. This position plays a critical role in ensuring customer samples are accurately logged, processed, and communicated throughout the testing lifecycle. The ideal candidate is highly organized, customer-focused, and comfortable managing multiple priorities in a fast-paced environment while maintaining exceptional attention to detail.
Key Responsibilities- Coordinate the receiving and intake of customer samples from initial communication through system entry
- Review sample submission forms and verify information for accuracy and completeness
- Enter and manage sample information within internal laboratory and business systems
- Communicate with clients regarding sample receipt, status updates, and testing requests
- Generate receipt confirmations and assist with pricing and quote verification when needed
- Coordinate shipments to third-party laboratory partners as required
- Serve as a primary point of contact for customer inquiries regarding services, turnaround times, and sample status
- Maintain accurate records of customer communications and sample documentation
- Collaborate with laboratory, operations, and accounting teams to ensure efficient workflow and customer satisfaction
- Support continuous improvement initiatives to enhance customer service quality and response times
- Assist with additional customer service and administrative functions as needed
- High school diploma or equivalent
- 6+ months of customer service, administrative, office support, or laboratory-related experience
- Strong verbal and written communication skills
- Excellent organizational and time management abilities
- Ability to manage multiple deadlines and priorities
- Strong attention to detail and data accuracy
- Proficiency with Microsoft Office, including Outlook, Excel, and Word
- Professional customer service mindset with strong problem-solving skills
- Experience in laboratory, food testing, scientific, or regulated environments
- Experience with Laboratory Information Management Systems (LIMS)
- Experience working with ERP systems
- Experience supporting international customers or global organizations
- Crystal Reports experience is a plus
- Strong customer service orientation
- High emotional intelligence and professionalism
- Ability to work effectively with individuals from diverse backgrounds
- Adaptability in a fast-paced environment
- Team-focused mindset with a willingness to support multiple departments
- Initiative to identify and improve processes
- Ability to lift and move items averaging up to 20 pounds and occasionally up to 50 pounds
- Frequent use of computers, phones, and repetitive hand movements
- Ability to work in an office and laboratory support environment
