About

The Role

We are seeking a detail-oriented Customer Service Representative – Sample Receiving to join a fast‑paced laboratory environment in Portland, OR. This role is essential in ensuring accurate intake, tracking, and communication of client samples within our laboratory systems.

You will serve as a key point of contact for clients while supporting internal lab operations, ensuring accuracy, efficiency, and exceptional service throughout the sample receiving process.

What You’ll Do
  • Manage incoming client requests and coordinate sample receiving workflows from intake through system entry
  • Enter and verify sample information using laboratory systems (LIMS/SAP) with high accuracy
  • Assign unique sample IDs and ensure all documentation aligns with client submission forms
  • Communicate with clients regarding sample status, receipt confirmation, and general inquiries
  • Coordinate with lab staff to ensure timely processing and workflow efficiency
  • Prepare and send sample receipt confirmations and related communications
  • Generate or verify pricing quotes as needed
  • Maintain accurate client records, logs, and documentation
  • Identify and elevate issues related to sample tracking or system discrepancies
  • Support continuous improvement efforts to enhance efficiency and service quality

  • Strong customer service experience in a professional or technical environment
  • Excellent data entry skills with a high level of accuracy and attention to detail
  • Ability to multitask and manage time-sensitive requests in a fast‑paced setting
  • Strong written and verbal communication skills
  • Comfortable working with databases, systems, and computer‑based workflows
  • Ability to follow procedures and maintain compliance standards
  • Prior experience in laboratory, healthcare, logistics, or administrative support is a plus
