Overview
The Senior Accountant position is responsible for managing the day-to-day accounting operations. Key responsibilities include management of AR and AP, journal entries, and overseeing the month end close process. This role also involves regular interaction with residents and Resident Services staff, including, but not limited to, rent collections, managing resident personal funds, and acting as representative payee for several residents on behalf of Maybelle Center.
In addition, the Senior Accountant will work closely with the Finance Director on special projects and provide backup support to the Accounting Coordinator and Finance Director on essential tasks. We seek a dynamic and caring individual who aligns with Maybelle's mission to serve our members and residents. This position may work remotely up to 20% of the time; however remote work is not always guaranteed due to the required on-site tasks.
Duties and Responsibilities:
The individual in this position is expected to engage in the following work-related activities.
* Prepare and manage all aspects of resident AR, rent collection, deposits
* Work with Resident Services on rent collection procedures
* Prepare monthly census summary, resident vacancies and out-of-facility journal entries
* Review and record bi-weekly payroll journal entry, ensure proper tracking of payroll and benefit liabilities
* Prepare and ensure timely entry of monthly journal entries
* Reconcile balance sheet accounts and bank reconciliation
* Record and reconcile, contributions receivable, pledges, and donor payments in coordination with Development/Fundraising
* Lead month-end close activities, including account reconciliation and various analysis
* Review accounts payable process, including vendor setup, invoice review and payment processes
* Ensure proper coding and approval of expenses
* Support Grant and fund accounting, including restricted funds
* Review monthly financials to ensure accuracy and compliance with accounting standards
* Assist Finance Director with annual audit including preparation of audit schedules and responding to audit requests and test selections
* Assist Finance Director with budget preparation
* Maintain resident DHS 512 forms, track resident liabilities, review for accuracy and follow up with case managers as needed
* Manage resident rosters and track resident payee information
* Maintain Resident Trust and Personal Income Fund (PIF) tracking and reconciliation
* Provide reports and information as needed
* Maintain comprehensive audit trail and essential source documentation
* Quality control/back up review of Accounting Coordinator's work
* Engage with residents, members, and employees using trauma-informed best practices
* Other duties as assigned
Skill Profile:
The individual in this position is expected to possess and exhibit the following knowledge, skills, and abilities.
* Strong, independent, problem-solving and reconciliation skills
* Strong interpersonal, written, and verbal communication skills
* Accurate, efficient, and timely data processing proficiency
* Intermediate/Advanced Excel and Adobe PDF editing proficiency
* Understanding of the Chart of Accounts and general accounting principles
* Understanding of fund accounting, revenue recognition, and non-profit financial regulations and reporting
* Ability to learn Medicaid, Medicare, Social Security, and other regulations for assisted living facilities
* Ability to adapt to changing regulations, funding environments, and organizational needs
* Capacity to work collaboratively with program staff and leadership
* Strong ethical judgment and integrity in handling financial matters and confidential information
Qualifications/ Requirements:
The following qualifications are required (or preferred) to perform the essential functions of this position.
* At least 5 years of experience in accounting or finance, including hands-on data entry-level AP and AR as well as general ledger, reconciliation, and financial reporting
* Bachelor's degree in accounting, finance, or business administration, or equivalent combination of education, training and related experience to perform the essential duties and responsibilities of the position
* Non-profit accounting experience preferred
* Advanced Proficiency in MS Office Suite, Quick Books or similar
* Ability to work effectively amid frequent interruptions
* Commitment to racial and social justice
* Ability to establish and maintain effective working relationships with diverse staff, volunteers, and community members
* Comfort working with a diverse resident population, including individuals facing chronic mental health issues and substance use
