The AP Coordinator plays a key role in ensuring the accuracy and timeliness of vendor payments and expense processing for the Americas region. This role supports the integrity of financial operations by managing invoice processing, vendor setup, and compliance with company policies. It partners with internal teams and external vendors to resolve queries, maintain accurate records, and contribute to efficient month-end close processes.

This is a temporary role expected to last 3-6 months, depending on the needs of the business.

• Invoice Processing: Accurately process vendor invoices, ensuring proper approvals, coding, and documentation in line with company policies.
• Vendor Management: Set up new vendors and maintain vendor records, ensuring compliance with documentation requirements.
• Payment Management: Prepare and process payments, including checks, ACH, and wire transfers; manage shared AP inbox and resolve payment queries.
• Expense Reporting: Assist with processing employee expense reports, ensuring adherence to policy and resolving discrepancies.
• Month-End Close: Prepare and post journal entries for payables, prepaids, and other related accounts; support month-end reporting requirements.
• Compliance & Controls: Ensure adherence to internal controls and company policies; maintain accurate audit-ready documentation.
• Continuous Improvement: Identify opportunities to streamline AP processes and support automation initiatives.
• Cross-Functional Collaboration: Work closely with Finance, Procurement, and other departments to resolve issues and ensure smooth operations.

• Strong understanding of basic accounting principles and AP processes.
• Proven experience in an accounting or finance environment.
• High attention to detail and ability to meet deadlines in a fast-paced setting.
• Proficiency in MS Excel and accounting systems (MS Dynamics 365 preferred).
• Strong organisational skills and ability to manage multiple priorities.
• Excellent communication and interpersonal skills for vendor and internal stakeholder interactions.
• Continuous improvement mindset with willingness to learn and adapt.
