Job Summary
Conferences Assistants are integral to the daily management, leadership, and operations of camps and conferences at the University of Portland. This position requires living on campus to support summer conference attendees staying in Residence Halls.
This is a physically active role. You’ll spend most of your shift moving—walking residence halls to inspect rooms, transporting linens across campus, unlocking doors, and managing inventory. While the core tasks remain consistent throughout the summer (room prep/report, linen management, guest support), each day brings different conditions under which these tasks will be performed.
- Training:
Early April and May (dates TBD) - Conferences begin May 11 – August 3, 2026. There are required work weeks before and after conferences end.
- Weekly meetings: TBD
- Conduct room condition reports before and after each group’s stay, documenting any damages or maintenance needed.
- Monitor and manage linen inventory: sort laundry, assemble linen packets, delivering them to rooms and collecting them after checkout—moving frequently between multiple buildings and floors. Managing linen inventory may include washing, drying, and folding laundry.
- Assist with room preparation, including setting up linens and welcome materials.
- Room preparation may include assembly and/or moving of bed furniture.
- Investigate, report, and follow up on room damages and maintenance issues.
- Assist in residence hall setup and teardown for semester transitions, including signage and inventory.
- Ensure proper signage, desk materials, and guest rooms are ready for check-ins.
- Conduct fire evacuation and general safety policy reviews with guests.
- Attend trainings sessions and weekly staff meetings.
- Maintain accurate records of room assignments and changes and draft end-of-conference reports detailing residence hall operations.
- Assist guests with check-in and check-out procedures in the residence halls.
- Provide assistance and support to conference attendees staying on campus, ensuring a high level of service.
- Support front desk staff when needed during high-traffic times.
- Transport misc. summer conference items and supplies between buildings on campus via golf cart.
- Respond to room unlocking requests via golf cart.
- Complete golf cart driving training.
- Summer housing in a double room in the designated summer residence hall; ability to pay the difference for a single room, should one be available.
- Interim housing in May and August available
- Meals are provided in the Commons while summer groups are on campus. A schedule will be provided.
- Must be enrolled in classes for the 2025-26 academic year.
- Must be able to work at least 15 hours per week and throughout all assigned camps/conferences.
- Must be available for shifts between 8:30 AM – 8:30 PM, seven days a week, including Federal Holidays.
- Must be able to complete tasks repetitively under varying conditions.
