About the Role
This position serves as the operational hub for a local company in Portland, Oregon, connecting transport scheduling, inventory tracking, accounting workflows, and client services. As the Business Operations Coordinator, you will manage load scheduling, scale documentation, export bookings, and transactional data accuracy. Working directly with management, this role offers direct exposure to core business operations and internal system modernizations.
The team is looking for a detail-oriented professional with a steady, proactive approach to problem-solving. You will act as the primary liaison between drivers, operations personnel, customers, suppliers, and external logistics partners to ensure materials, documentation, and data flow accurately across departments.
Key Responsibilities
- Logistics & Dispatch Coordination: Schedule inbound and outbound load movement, manage dispatch activities, and oversee transport documentation.
- Scale & Transaction Management: Process, review, and verify scale house records, bill of lading documentation, and freight paperwork.
- Shared Services & Operations Support: Monitor and manage the primary operational service inbox, resolving customer, supplier, and team requests efficiently.
- Inventory & Data Tracking: Support inventory reconciliation, utilize Microsoft Excel for data organization and discrepancy analysis, and maintain operational reporting integrity.
- Accounting & System Support: Assist accounting workflows, complete transaction reconciliations, and participate in business software and systems upgrades.
- Cross-Functional Communication: Maintain clear communication across sales, accounting, facility operations, transport drivers, and external partners.
Requirements
- Proven background in logistics, dispatch, transportation, operational accounting support, distribution, or manufacturing environments.
- Intermediate proficiency in Microsoft Excel, including experience using formulas, data sorting/filtering, and working with pivot tables.
- High attention to detail, strong follow-through, and the ability to manage competing priorities in a fast-paced setting.
- Clear communication and interpersonal skills to collaborate across all levels of the business, including drivers and external vendors.
- Technical aptitude and an enthusiasm for learning new software systems and supporting process improvements.
- Local candidate able to work on-site in Portland, Oregon.
