Regulatory Compliance Specialist
Summary
The Food Safety Regulatory Compliance Coordinator is responsible for managing and maintaining food safety and regulatory documentation systems to ensure compliance with company policies, customer requirements, and regulatory standards. The role supports the organization through document control administration, records management, audit preparation, and coordination of food safety and compliance meeting materials. The ideal candidate is highly organized, detail‑oriented, and capable of managing multiple priorities for multiple locations, and can communicate effectively with site staff and leadership to ensure records are current and accurate.
EssentialFunctions
- Maintain and control food safety, occupational safety, regulatory, and operational documents and records.
- Ensure documentation complies with company standards and applicable regulatory requirements.
- Manage document revisions, approvals, distribution, retention, and archival processes.
- Maintain training records, compliance logs, corrective action documentation, and audit files.
- Prepare agendas, meeting materials, action item trackers, and supporting documentation for food safety and regulatory meetings.
- Support internal, customer, and third‑party audit preparation activities.
- Assist with maintaining compliance programs including SQF, GMPs, HACCP, Organics, and regulatory documentation systems.
- Coordinate collection and organization of records from cross‑functional departments at our Roastery and Cold Brew locations.
- Monitor documentation completion and follow up on overdue records or required updates.
- Support continuous improvement initiatives related to document management and compliance systems.
- Assist with onboarding and annual compliance training for operations teams.
- Perform additional duties and projects as assigned.

Qualifications- Experience in food manufacturing, food safety, quality assurance, regulatory compliance, or document control.
- Experience working with SQF, HACCP, GMPs, FDA, or food manufacturing compliance systems preferred.
- Strong written and verbal communication skills.
- Strong organizational and administrative skills.
High attention to detail and accuracy. - Proficient in Microsoft Office, Google Workspace, and document management systems.
- Ability to manage confidential information and work independently.
Ability to sit continuously at a computer; lift up to 10 pounds frequently and up to 50 pounds occasionally; detect and perceive the smell of coffee; stand for long periods; climb a ladder occasionally.
Work EnvironmentFully onsite position at the Portland, OR Roastery. Work takes place in manufacturing and retail facilities, with occasional travel within the home market to other Stumptown sites. Temperature may fluctuate and noise levels can be high.
