Position: Assistant Property Manager / Project Coordinator for Commercial Real Estate Firm

The Assistant Property Manager/Project Coordinator is responsible for project & maintenance coordination, tenant& vendor relations, and delinquency management. This role serves as a key liaison between tenants, vendors, and the Senior Property Manager, ensuring operational excellence and timely execution of property management initiatives.

Essential Functions
  • Track property improvement projects, capital improvements, and tenant turnovers from initiation through completion, ensuring projects stay on schedule and within budget.
  • Monitor recurring and corrective maintenance programs by coordinating with Building Engineers and vendors, tracking work orders, ensuring timely completion, and maintaining quality standards.
  • Serve as point of contact for tenant inquiries, concerns, and service requests.
  • Build and maintain positive tenant relationships while ensuring lease compliance and tenant satisfaction.
  • Coordinate with vendors and contractors, obtain competitive bids, monitor service agreements, verify insurance compliance, and maintain vendor performance records.
  • Monitor rent collection, follow up on delinquent accounts, prepare collection correspondence.
  • Assist in budget preparation and tracking by researching costs, obtaining bids, and monitoring expenses against budgeted amounts.
  • Maintain property records including lease abstracts, certificates of insurance, and compliance documentation utilizing property management software and tracking systems.
  • Coordinate building key fob access management and security systems administration for staff and tenants.
  • Monitor and maintain Energy Star reporting and other sustainability compliance requirements.
  • Provide regular status reports to the Senior Property Manager on ongoing projects, maintenance issues, and tenant matters.
  • Perform other duties as assigned by the Senior Property Manager.
Qualifications
  • Project Management: Demonstrated ability to manage multiple projects simultaneously, prioritize tasks effectively, and meet deadlines
  • Communication: Excellent written and verbal communication skills with the ability to interact professionally with tenants, vendors, and team members at all levels.
  • Problem-Solving: Strong analytical and problem-solving abilities with sound judgment to resolve issues independently while knowing when to elevate matters to the Senior Property Manager.
  • Financial Acumen: Solid understanding of commercial real estate financial principles, including budgets, operating statements, CAM/Op Ex reconciliations, and lease terms.
  • Organization: Highly organized with strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Technology: Proficient with property management software - Yardi is a plus, Microsoft Office Suite, project management tools, and building systems.
  • Initiative: Self-motivated with ability to work independently and take ownership of assigned responsibilities.
Required Education & Experience
  • Minimum of 2 years of project coordination/management experience or commercial real estate facilities management.
  • Experience with Yardi or similar property management software a plus.
  • Proficiency in Microsoft Office Suite, particularly Excel, required.
About the position
  • Full-time, exempt position. Salary Range: $65k - $85k per year, DOE
  • Monday through Friday, standard business hours with flexibility for occasional evening or weekend work as needed for emergencies or project deadlines.

Work Environment & Physical Demands
  • Professional office environment with occasional site visits to properties.
  • Extended periods of computer work, including data entry and tracking
  • May require walking property sites and inspecting maintenance issues.
