Shoals Technologies is hiring a Procurement Admin to provide administrative and purchasing support for our procurement team, with primary coverage Friday through Monday. This role helps ensure purchase orders, supplier communications, and receiving documentation are completed accurately and on time, while supporting inventory and material flow for our operations. The ideal candidate is organized, detail‑oriented, eager to learn, and comfortable working in a fast‑paced environment.
Qualifications- Provide Procurement support for weekend operations being the primary point of contact for any issues that arise.
- Provide procurement administrative coverage Friday–Monday, monitoring inboxes/queues and responding to routine requests.
- Create, update, and track purchase orders in the ERP system, ensuring correct part numbers, pricing, quantities, and delivery dates.
- Coordinate with suppliers on order acknowledgments, shipment status, and backorders; escalated delays or discrepancies to the Buyer/Procurement Specialist as needed.
- Maintain accurate procurement records, including quotes, order confirmations, and supplier contact details.
- Assist Accounts Payable with invoice matching (PO/invoice/receipt), investigating discrepancies and routing items for resolution.
- Run and distribute routine reports (open POs, past due, acknowledgments, receipt discrepancies) and help keep trackers up to date.
- Support inventory and material flow by assisting with min/max updates, cycle count follow‑up, and communicating shortages to the team.
- Help maintain standard work and support process improvements by documenting steps and suggesting efficiencies.
- Follow procurement controls and compliance requirements (including proper approvals and documentation) and escalated exceptions when identified.
- Availability to work Friday through Monday (schedule details to be discussed during the hiring process).
- High school diploma or GED required; associate degree or coursework in business, supply chain, or related field is a plus.
- 1–2 years of experience in purchasing, supply chain, logistics, or administrative support (internship/part‑time experience acceptable).
- Strong attention to detail and ability to manage multiple tasks while meeting deadlines.
- Comfortable communicating with suppliers and internal stakeholders via email, phone, and Teams.
- Proficiency with Microsoft Office, especially Excel; ability to learn new systems quickly.
- Experience with an ERP system is a plus (e.g., Great Plains/Dynamics, SAP, Oracle), but not required.
- Positive, dependable team player with a strong sense of ownership.
- Ability to maintain confidentiality and follow established purchasing controls and approval processes.
- Ability to work in a fast‑paced environment with a service‑minded approach to problem solving.
- Ability to occasionally flex hours to support quarter‑end, inventory, or urgent supplier issues (with notice when possible).
- Interest in procurement/supply chain and willingness to learn Shoals products and processes.
