Job Position Summary
The Accounting Assistant/Title Clerk position reports to the Office Manager regarding performance, attendance, etc. This position entails daily banking for all CIT, cancellation deposits, receipting of wires and funds for dealer trades and wholesales, VITU monies, and paying off daily floorplan monies due. It is also responsible for processing wholesales and dealer trades, courtesy deliveries, cancellations and reserves. Regarding titles, this position will process out‑of‑state deals for each store.

- Reconcile office records with those of the sales department.
- Prepare a daily report of contracts, vehicle receivables, and proceeds; pay floorplan based on that report and verify with floorplan schedules.
- Account for all wholesale deal records and compile a list of any missing transactions.
- Manage courtesy delivery tasks.
- Process all new and used vehicles for out‑of‑state registration in the state where they will be titled, maintaining a system to verify out‑of‑state titles.
- Accurately prepare tax and title documents.
- Submit all legal transfer work to the Department of Motor Vehicles.
- Verify funds have been collected and the correct lienholder is paid off before processing title applications.
- Ensure the accuracy of title applications.
- Keep and maintain a tax and title schedule with the status of all out‑of‑state title work.
- Complete all aspects of wholesale transaction title work.
- Use Axcess to communicate used vehicle title status.
- Maintain all related schedules, cleaning them weekly and turning in JV for review.
- Maintain a professional appearance.
- Other duties as assigned.
- Two to four years of related experience and/or training; or an equivalent combination of education and experience.
- Be able to lift up to fifty (50) pounds.
- Be able to stand and sit for an hour or more at a time.
- Ability to pass a criminal background check.
- Required pre‑employment drug test.
- Also subject to random drug testing, reasonable‑suspicion drug testing, and post‑accident testing at the company’s request.
- Organized, with the ability to switch between tasks or stay focused on repetitive tasks as needed.
- Self‑motivated to go above and beyond targeted goals.
- Perseverance in completing challenging tasks.
- Willing to help the team reach their goals and effectively communicate with peers.
- Easily identify and resolve problems in a timely manner and gather and analyze information skillfully.
- Complete all required training.
- Pay close attention to detail.
- Able to exercise a high level of confidentiality.

The Billing Manager may be required to stand for long periods of time, sit for long periods of time, walk with customers and team members, lift and/or carry up to 50 pounds, balance, stoop, kneel, and crouch. While performing the duties of this job, the employee is regularly required to talk, listen, and hear. The employee is frequently required to use hands to finger, handle, feel, and reach with hands and arms.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The environment for the Billing Manager varies, but often is an office setting and working in a car showroom. The Billing Manager will be required to walk the dealership property and may encounter inclement weather. The Billing Manager may also enter the service areas and be exposed to dangerous work environments and loud noises.
The noise level in the work environment is usually moderate to loud.
