Office Manager – Knudtsen Auto Group, Post Falls,

Responsibilities
  • Partner with Controller for all hiring.
  • Train and supervise office personnel.
  • Assist Controller with preparation of monthly financial statements according to dealership guidelines, manufacturers' format and timeframe.
  • Control all posted documents, including time records, vehicle deals, commissions and other changes to inventory.
  • Reconcile bank account and provide a daily cash report.
  • Control petty cash amounts for dealership and sales department.
  • Provide detailed financial and management reports to department managers.
  • Review entries made by accounting staff, body shop CSR and service Warranty Administrator; investigate unusual entries.
  • Reconcile select accounts/schedules.
  • Approve adjustments to inventory and receivable accounts.
  • Ensure manufacturer accounts, including warranty claims, rebates, interest, protection, and co‑op advertising accounts, are current and accurate.
  • Assist in closing month‑end within 10 business days.
  • Participate in the preparation of short‑ and long‑term forecasts as requested by the Controller.
  • Assist in completion of annual review/audit.
  • Ensure compliance with all government regulations.
  • Prepare manager bonuses and commissions to be paid out for payroll during month‑end.
  • Prepare tax reports, deposits and returns in a timely manner.
  • Stay abreast of current factory incentives and code deliverables on dealership computer system.
  • Administer charge‑backs to F&I and vehicle gross.
  • Prepare sales commission/chargeback detail reports.
  • Manage payoff of vehicle floor plan and work with bank representatives.
  • Approve new charge accounts and oversee collection of past‑due accounts.
  • Compile information and prepare reports as requested by management and/or dealer principal.
  • Provide office support with titling, VSC/ancillary products, etc.
  • Cross‑train a qualified substitute.
  • Maintain a professional appearance.
  • Attend manager meetings as requested.
  • Process and post payroll.
  • Post body shop repair orders in DMS.
  • Other tasks as assigned.
Qualifications
  • Bachelor’s Degree in Business Administration is preferred.
  • 4–6 years of automotive accounting experience, or educational equivalent.
  • Basic computer skills, working ability of Word, Excel, etc., and ability to learn database management software.
  • Proficient oral and written communication skills, and the ability to read and interpret documents.
  • Valid driver’s license.
  • Pass a motor vehicle report and possess a safe driving record.
  • Pass a criminal background check and drug test; subject to random drug testing.
Physical Demands and Working Environment

The Office Manager may be required to stand, sit, walk, lift up to 20 pounds, balance, stoop, kneel, and crouch; regularly required to talk, listen, and use hands for filament tasks. Vision requirements include close, distance, color, peripheral, depth perception, and focus adjustment. Work environment is primarily an office setting but may require occasional work throughout the dealership and exposure to noise.
