About the Role
We are seeking an Administrative Coordinator to support day‑to‑day administrative and operational needs across our two clinic locations. This role is ideal for a strong administrative professional who is comfortable with technology, systems, and troubleshooting basic issues
, and who enjoys being a reliable point of coordination for people, processes, and vendors.
This is not a formal IT role
—but comfort with systems, applications, and basic troubleshooting is an important part of being successful.
- Support technical, facilities and building‑related needs for both clinic locations
- Process incoming mail and daily payments
- Organize meetings, track follow‑ups, and assist with internal coordination
- Manage purchasing of office supplies with administrative approval
- Maintain and update clinic forms, documents, and internal procedures
- Serve as the first point of contact for basic system or access issues (logins, devices, phones, minor software issues)
- Help route and coordinate issues with our third‑party IT vendor when advanced support is needed
- Assist with system documentation, access requests, and basic troubleshooting
- Support clinic system initiatives (such as EMR transitions) through coordination, tracking, and follow‑up
- Maintain organized records related to systems, vendors, and access
- Assist with maintaining website content, social media updates, and basic digital communications
- Support patient‑facing materials and online presence as needed
- Run occasional courier errands between offices and postal/retail locations
- Provide general administrative support as needed to keep operations running smoothly
- Strong organizational and administrative skills
- Comfortable using technology and learning new systems
- Able to troubleshoot basic issues and know when to escalate
- Friendly, approachable, and service‑oriented
- Clear communicator, both written and verbal
- Calm and dependable in a fast‑paced medical office environment
- Detail‑oriented with strong follow‑through
- Associate or Bachelor’s degree or equivalent administrative experience
- 3+ years of experience in an administrative, operations, or office support role preferred
- Comfort working with office systems, EMRs, phones, and basic troubleshooting
- Working knowledge of HIPAA and confidentiality requirements
- Typing proficiency (60+ WPM) and accurate data entry
- Reliable transportation for occasional errands
