Position GoalProvide secretarial and clerical support to the Athletics Department.
Essential Duties & Responsibilities- Responsible for checks, deposits, and recording Athletics and Activities financials.
- Process payments using various software systems including Quickbooks.
- Provide secretarial services including correspondence, filing, mail, phone messages and appointments.
- Interface with all levels of employees and external contacts; provide assistance and information, and respond to routine inquiries and requests.
- Collect and assemble data as needed.
- Process purchase orders and requests.
- Maintain a student-athlete eligibility report in order to ensure compliance with PIAA participation regulations.
- Update seasonal athletic schedules (i.e., event dates and locations).
- Maintain files and records.
- Assist with Athletic Scheduling and facility usage as directed by Director of Athletics.
- Compile an Extracurricular Activities Report to document each season's athlete participation amount.
- Observe established policies and procedures.
- Distribute notifications of event changes (e.g., postponements, cancellations, location adjustments, etc.) as required.
- Open, sort, and process incoming mail.
- Maintain office supplies.
To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skill and/or ability necessary.
- High School diploma or equivalent.
- Proficient computer skills, including word processing, spreadsheet and database applications.
- Proficient clerical skills, including organizational skills, with the ability to work independently with frequent interruptions and to meet deadlines.
- Ability to demonstrate diplomacy when dealing with parents, teachers, staff, community members and other external contacts; and to maintain confidentiality.
- Submission of PA School Personnel Health form.
- Current Act 34, Act 151 and Act 114 clearances.
- 262 days per year; 8 hours per day.
- Salary and benefits according to the negotiated agreement between the Board of School Directors and the International Brotherhood of Teamsters, Local 384.
- According to the School District Policy Manual (available online at ).
