Office Administrator
STATUS:
Part-time (15-20 hours per week)
- Excellent written and verbal communication skills.
- Strong organizational and interpersonal skills.
- Ability to accurately complete administrative forms and reports in a timely fashion.
- Proficiency in data entry and basic office equipment (phone, copier, computer).
- Experience with Chamber master or similar CRM software is preferred.
- Schedule:
Must be available to work 15-20 hours per week, consisting of shifts across 3 weekdays and Saturday. - Maintain acceptable attendance and punctuality standards.
- Ability to work effectively and harmoniously in a culturally and ethnically diverse membership environment.

POSITION SUMMARY:To support the daily operations of the Tri County Area Chamber of Commerce by providing high-level administrative support, assisting members with digital tools, and ensuring the accurate maintenance of membership records and billing data.
PERFORMANCE RESPONSIBILITIES:Member Support & Engagement
- Field and execute incoming inquiries from members and the community, providing business referrals as appropriate.
- Assist members with the Member Information Center (MIC) , specifically managing login information and navigation.
- Input member data into the MIC, including directory listings, community events, job openings, and news releases.
- Respond to inquiries and complaints in a timely and professional manner.
- Availability to occasionally attend events.
- Assist in executing monthly membership and events billing via Chamber master .
- Perform data entry for new members, upcoming events, and renewals.
- Maintain a detailed master list of members, tracking specific benefits received.
- Prepare monthly reports regarding anniversaries and renewals, coordinating "Thank You" emails.
- Process Certificates of Origin for local businesses.
Office Operations & Collateral
- Assemble New Member Welcome Folders for orientations and Prospect Folders for office visitors.
- Maintain an updated brochure rack with current event information.
- Create Board and Ambassador name tags as needed.
- Manage the filing of Chamber documents, receipts, and records.
- Answer and direct phone calls while maintaining a professional office atmosphere.
- Continuous Action:
Sit, stand, and walk for up to 1 hour each in an 8-hour workday. - Lifting:
Ability to lift/carry up to 30 lbs. occasionally. - Repetitive Motion:
Use hands for simple grasping, fine manipulation, typing, and filing. - Occasional Activity:
Bending, squatting, and reaching.
