Accounts Payable Specialist

Description

The Accounts Payable Specialist supports the full-cycle AP function for a growing manufacturing company, ensuring timely and accurate processing of vendor invoices, purchase orders, and payments. This role is ideal for someone who thrives in a fast‑paced, inventory‑driven environment and is comfortable working with Net Suite and cross‑functional teams such as procurement, operations, and supply chain.

Key Responsibilities

+ Process high‑volume vendor invoices, ensuring proper matching to purchase orders and receipts (3‑way match).

+ Review invoices for accuracy, appropriate approvals, and correct GL coding.

+ Enter, track, and reconcile AP transactions in Net Suite, maintaining data integrity and consistency.

+ Prepare weekly payment runs (ACH, checks, wires) and ensure timely vendor payments.

+ Resolve invoice discrepancies by collaborating with purchasing, receiving, and vendors.

+ Maintain vendor records, W‑9s, and support year‑end 1099 preparation.

+ Reconcile AP aging reports and assist with month‑end close activities.

+ Support audits by providing documentation and responding to inquiries.

+ Assist with process improvements to streamline AP workflows and strengthen internal controls.

+ Provide general accounting support as needed in a small‑team environment.

Requirements

Required Qualifications

+ 2-4+ years of Accounts Payable experience, preferably in a manufacturing or inventory‑based company.

+ Hands‑on experience with Net Suite (AP workflows, vendor management, PO matching).

+ Strong understanding of 3‑way match, invoice coding, and AP best practices.

+ Proficiency with Excel (VLOOKUP, pivot tables, basic formulas).

+ High attention to detail, accuracy, and ability to manage competing deadlines.

+ Strong communication skills for working with vendors and internal teams.

+ Ability to work on‑site in Poughkeepsie, NY.

Preferred Qualifications

+

Experience with inventory transactions or manufacturing workflows.

+ Familiarity with freight, raw materials, and production‑related invoicing.

+ Exposure to process improvement or AP automation tools.

+ Prior contract‑to‑hire experience or comfort working in a dynamic environment.
