Job Title

Program Assistant - Part time - Marketing & Communications

This position provides support functions for a program or service funded by government. It involves clerical duties across offices and departments, with unit-specific rules and processes. Responsibilities vary by unit, and may include data collection, transcription, data entry, responding to public inquiries about eligibility and services, maintaining logs and records, and centralized tasks such as mail distribution, fleet management, or inventory.

The Program Assistant focuses on procedures and guidelines within a program or service, and does not supervise staff (may direct work of aides, interns, or temporary employees).

Typical Work Activities

The following describes typical activities and is not exhaustive; supervisors may assign additional activities within the title.

  • Work with the public to provide information about a program; process records and transactions, including applications, routine correspondence, and database administration
  • Gather, collate, and summarize information about a unit’s programs or activities
  • Prepare, receive, review, and verify documents
  • Enter data to open/close files
  • Contact other agencies to gather routine information or explain requirements for unit programs
  • Screen and assemble records for storage or disposal per records control schedules
  • Maintain property and equipment records; conduct inventories
  • Prepare vouchers and review information for accuracy and fund availability
  • Assist in organizing program events (e.g., registration) by collecting information, making arrangements, and assembling informational packages
  • May provide centralized support functions (mail distribution, fleet management, ordering/distribution of supplies, equipment)
  • Maintain databases and produce lists as required by program needs
  • Monitor files/cases for required forms/documentation and take follow-up actions (e.g., phone calls, sending standard letters)
Requirements

Full Performance Knowledge, Skills and Abilities

  • Knowledge of program rules and procedures to process work independently and assist the public
  • Knowledge of office practices for interacting with staff and the public, workflow processing, and filing/retrieving information
  • Knowledge of word processing, database management, and spreadsheets to produce documents and lists
  • Ability to perform calculations, reconcile vouchers, conduct cashiering duties, maintain inventories, and keep program records
  • Ability to operate standard office equipment
  • Ability to interact with diverse people to exchange program information
  • Ability to organize, maintain, and extrapolate information from records
  • Personal characteristics suitable for the duties of the position
  • Physical condition suitable for the position (some roles may require transporting objects weighing up to 45 pounds)
Minimum Qualifications

Graduation from high school or high school equivalency diploma AND:

  • Either: (A) Two years (60 credit hours) from a regionally accredited or NYS-registered college, or business/secretarial school
  • Or: (B) Two years of full-time general office work experience involving public contact and keyboarding
  • Or: (C) An equivalent combination of training and experience as defined by (A) and (B)

Special Requirement

Candidates must indicate keyboarding ability (courses or work experience).

Additional Information

The Program Assistant position is a Civil Service title, Grade 8, starting at $23.67 per hour. This is a part-time, 15 hours per week, 12-month position in the Marketing & Communications Office. Class: CSEA;
Salary: $23.67 per hour.
