We are looking for a dedicated and detail-oriented Operations Assistant to join our Poughkeepsie team.
Job Description: As an Operations Assistant, you will play a crucial role in supporting the day-to-day activities of our Operations Department. This position requires strong organizational skills, excellent communication skills, and a proactive approach to handling a range of tasks. The ideal candidate will be adaptable and able to manage multiple responsibilities efficiently.
Key Responsibilities:
- Administrative Coordination: Complete and manage paperwork as instructed by Operations Managers.
- Payroll Entry:
Assist in entering payroll information into ADP accurately and in a timely manner. - Phone Support: Manage incoming phone calls in the Operations Department and provide assistance as needed.
- Scheduling Coordination: Conduct check-in calls with field teams, providing instructions and updates on each day's schedule.
- Uniform Invoice Review: Review and manage the weekly uniform invoice.
- Account Backup: Serve as a backup for critical client accounts to ensure continuity and support.
- Onboarding and Updates: Assist Operations and HR with onboarding paperwork and disseminate company updates to staff.
- High School diploma required; some college preferred
- Previous experience in an administrative or operations support role is preferred.
- Familiarity with payroll systems, particularly ADP, is a plus.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Reliable and punctual with a strong work ethic.
