Project Coordinator – Data Centers
JLL seeks a dedicated Project Coordinator to serve as the financial and administrative backbone of mission‑critical data center construction projects. The role requires strong organizational skills, financial acumen, and the ability to manage multiple high‑priority projects concurrently in fast‑paced environments.
Responsibilities- Manage all vendor invoices and payment applications from general contractors and specialized subcontractors (MEP, electrical, mechanical, cooling systems), including issue resolution and payment tracking through project completion.
- Create, review, and distribute Purchase Orders and Change Orders to vendors and subcontractors; ensure executed copies are stored per folder structure requirements and compliance protocols.
- Track and expedite all financial transactions (Budget Requests, Commitments, Change Controls, Invoicing) within client‑based software platforms, ensuring workflows are completed within 48-hour targets while maintaining project timelines.
- Conduct rigorous quality assurance reviews of backup documentation, cost codes, and construction change orders to ensure alignment with contract requirements, technical specifications, and industry best practices.
- Monitor project health dashboards, closeout trackers, and financial data accuracy for multiple concurrent projects, updating records in real‑time for data integrity and visibility.
- Coordinate weekly or bi‑weekly touchpoints with Project Managers to align administrative and financial responsibilities with critical milestones, commissioning schedules, and client deliverables.
- Manage document control for complex construction documents, technical specifications, equipment submittals, commissioning documentation, ensuring proper naming conventions and folder locations.
- Support comprehensive project closeout activities including final lien waiver tracking, subcontractor diversity reporting, commitment reconciliation, substantial completion documentation, and warranty tracking for data center systems.
- Assist with vendor management updates, software access requests, and onboarding support for new team members on data center construction-specific processes and protocols.
- Bachelor’s degree in Business Administration, Engineering, Construction Management, Finance, or related field.
- 3-4 years of experience in project coordination, construction administration, or a similar role within data center, mission‑critical facilities, or construction industry.
- Strong accounting and analytical skills with demonstrated understanding of construction financial processes, budget management, and cost tracking.
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) with emphasis on financial modeling and data analysis.
- Excellent organizational skills with proven ability to manage multiple data center projects and competing priorities while meeting aggressive deadlines.
- Strong written and verbal communication skills for effective vendor coordination, stakeholder engagement, and cross‑functional collaboration.
- Detail‑oriented approach with commitment to data accuracy, quality assurance, and financial integrity.
- Knowledge of construction contract administration, purchase orders, change order management, and payment requisition processes.
- Understanding of lien waiver requirements, conditional/unconditional releases, affidavits, and construction payment workflows.
- Ability to work collaboratively in virtual and hybrid environments using Zoom, Teams, and other collaboration platforms.
- Proficiency in project management and financial tracking software (client‑based platforms preferred).
- Direct experience coordinating data center construction projects or mission‑critical facility infrastructure projects.
- Familiarity with data center industry terminology, MEP systems, commissioning processes, and technical requirements.
- Experience with Project Development Services (PDS) technology or similar enterprise project management platforms.
- Working knowledge of data center project management principles, methodologies, and lifecycle phases.
