The Administrative Assistant, Campus Safety (CL-2) provides specialized office support to Campus Safety staff and their respective responsibilities. Responsibilities include creating correspondence, processing and compiling information, exercising independent judgment, coordinating calendars and events, and preparing reports.
Physical Effort & Work EnvironmentTypical office environment. Majority of work while sitting; occasional standing, walking, lifting small objects.
Minimum QualificationsHigh school graduate, 5‑7 years of progressively responsible secretarial/clerical work or equivalent training, experience, and education. General computer proficiency with Microsoft Office Suite required.
Requisite Skills- 1B-Intermediate Reception/Response
Consistently provides routine responses and basic information from inquiries (telephone, e‑mail, or in‑person) with minimal guidance. Directs visitors as needed.
- 3B-Intermediate Calendar Manager
Consistently manages calendar (tasks, meetings, events, schedules, correspondence) of supervisor/department, schedules meetings without consultation, and notifies participants.
- 4B-Intermediate Event Organization
Consistently organizes and coordinates events (meetings, workshops, seminars, receptions) with minimal consultation or independently (e.g., scheduling speakers, securing rooms, creating invitations, managing food & beverages, overnight accommodations).

Consistently creates routine correspondence or updates templates with speed and accuracy. Utilizes comprehensive knowledge of supported word‑processing software.

- Serve as point of contact over phone, in person, and online for students, parents, faculty, staff, and the public.
- Manage Marist University parking program (including annual student parking permit applications, online permit fee payments, decal pick‑up, biannual faculty & staff parking permit applications/renewals, online vehicle registrations, student parking permit exceptions, temporary parking inquiries, visitor parking inquiries).
- Assist with management of New York State Division of Criminal Justice Services licensing for the Marist University security guard school and Campus Safety officer individual licenses.
- Maintain knowledge of state and federal regulations pertinent to the position.
- Manage Campus Safety officer payroll and leave balances.
- Open, sort, and distribute office USPS and electronic mail (via the safety account). Process outgoing mail.
- Access department calendars; schedule and log appointments as necessary.
- Create, update, and proofread various correspondence and documents.
