About the RoleHealthy Kids is seeking a highly organized, detail-oriented Compliance Coordinator to support documentation, licensing, and compliance activities across our growing, multi-state organization.
Reporting directly to the CEO and working closely with Operations, Registration, HR, and other departments, this role will help ensure that required documentation, licensing information, and compliance records are accurate, organized, and up to date.
A primary focus will be tracking children's required medical and health documentation, identifying missing or expiring records, and coordinating follow-up to help ensure requirements are met.
This is a hands-only administrative role for someone who enjoys organization, documentation, tracking, follow-up, and problem-solving. The position does not involve providing medical advice or making clinical determinations.
Key Responsibilities- Track required medical and health documentation for children across multiple states.
- Review records for missing, incomplete, or expired documentation.
- Monitor expiration dates and coordinate follow-up on required updates.
- Maintain accurate spreadsheets, databases, checklists, and compliance records.
- Track state-specific childcare licensing and documentation requirements.
- Monitor regulatory deadlines, renewals, and expiration dates.
- Assist with keeping internal compliance information current as requirements change.
- Organize documentation for licensing reviews, inspections, and audits.
- Track outstanding compliance items and follow up through completion.
- Prepare routine compliance reports and provide the CEO with updates on outstanding items.
- Communicate with internal teams to obtain missing information and resolve documentation issues.
- Identify discrepancies or potential compliance concerns and elevate them to the CEO or appropriate department.
- Maintain confidentiality when handling children's, family, and employee information.
- Assist with compliance projects and other related administrative duties as assigned.
The ideal candidate is organized, dependable, detail-oriented, and comfortable managing information, deadlines, and follow-up across multiple departments.
Required Qualifications- Excellent organizational skills and attention to detail.

- Strong computer skills and comfort working with spreadsheets and databases.
- Accurate data-entry and recordkeeping skills.
- Strong written and verbal communication skills.

- Professionalism and discretion when handling confidential information.

- Previous administrative, compliance, or office support experience.
- Experience with spreadsheets, databases, or document-management systems.
- Experience in childcare, education, healthcare, human resources, or another regulated environment.
