Job Description

Structure Tone, part of the STO Building Group is looking to add a Bid Coordinator for a project in Poughkeepsie. The successful candidate will manage the end-to-end bidding process, ensuring that proposals (RFPs, RFQs, ITBs) are accurate, compliant, and submitted on time to secure new construction projects. They serve as the central liaison between estimators, project managers, subcontractors, and clients, managing document control and tracking bid opportunities from initiation to submission.

Key Responsibilities
  • Bid Management & Coordination:
    Review incoming invitations to bid (ITB), analyze drawings and specifications, and track bid deadlines in a central log or CRM.
  • Subcontractor Outreach:
    Actively call and email subcontractors to solicit bids, ensuring adequate coverage for all trades.
  • Document Control:
    Distribute bid documents, plans, and addenda; maintain organized project files.
  • Proposal Preparation:
    Assist the estimating team in assembling bid packages, including quantity take-offs, scope reviews, and vendor quotes.
  • Final Submission:
    Ensure all proposals are complete, compliant with client requirements, and delivered on time.
  • Post-Bid Activity:
    Assist with post-bid follow‑ups, contract documentation, and turnover to the project management team.
Required Qualifications & Skills
  • Experience:

    1–3 years of experience in construction bidding, project coordination, or estimating.
  • Technical

    Skills:

    Proficiency in Microsoft Office Suite (especially Excel) and construction software such as Building Connected, Procore, Bluebeam, or Plan Swift.
  • Construction Knowledge:
    Ability to read and interpret blueprints, construction drawings, and specifications.
  • Communication:
    Excellent verbal and written communication skills for managing subcontractor relationships.
  • Organizational

    Skills:

    Strong attention to detail and ability to manage multiple, high‑stakes deadlines simultaneously.

Salary Range: $80,000 – $90,000 based on experience.
