Job Overview

Full‑time Medical Front Office Assistant under supervision of the office manager, responsible for answering calls, returning voicemails, processing patient referrals, scheduling visits and procedures, contributing to surgery scheduling, and submitting authorizations while providing customer service to patients. Heavy volume of phone interactions is expected.

Education

High school diploma; some college preferred.

Experience
  • At least one year in general office responsibilities and procedures.
  • At least one year in medical office customer service.
  • Requirements
  • Computer literate.
  • Knowledge of scheduling principles and practices.
  • Ability to work independently and as part of a team.
  • Willingness to travel to other office locations.
  • Preferred Qualifications

    Spanish speaking.

    Knowledge & Skills
    • Computer literate.
    • Good writing, analytical, and problem‑solving skills.
    Abilities
    • Communicate effectively.
    • Operate standard office equipment including computers, telephone systems, typewriters, calculators, copiers, and facsimile machines.
    • Follow oral and written instructions.
    Job Duties
  • Schedule all needed appointments.
  • Check in patients for their appointments.
  • Handle incoming scheduling calls and return voicemails.
  • Process new patient referrals.
  • Correct scheduling errors.
  • Run eligibility checks.
  • Complete authorizations and appeals.
  • Process medical records.
  • Review and distribute incoming faxes.
  • Scrub chart notes for errors on assigned patients.
  • Other duties as assigned.

    Office setting.

    Physical/Mental Demands

    Varied activities including sitting, walking, bending, reaching, lifting up to 50 pounds, and balancing multiple projects and deadlines. Requires eye‑hand coordination and finger dexterity.
