Position Summary
The Counseling Assistant provides clerical support to an assigned high‑school counseling office under the direction of the Principal or Assistant Principal. Duties include student registration and scheduling, record maintenance and report preparation, and assistance to staff, students and the public.
Selection ProcessApplicants will be screened, invited for a competitive examination that may include training and experience evaluation and a multiple‑choice exam. Candidates who pass all examination procedures will be ranked on an eligibility list. Selection will be made from the top three ranked candidates.
Responsibilities- Register and enroll students, verify and input registration data, process domestic and foreign transcripts, and respond to transcript requests.
- Maintain student data in the database; update enrollment cards, master schedules and course assignments.
- Prepare and print student schedules, class lists and report cards, and respond to schedule changes and class requests.
- Process grading records, receive student grades, prepare progress reports and notify staff and parents of academic issues.
- Maintain cumulative records, transfer records for exiting students and manage filing systems.
- Monitor inventory of registration and grading materials and order supplies as needed.
- Operate office equipment (calculator, telephone, copier, fax, typewriter, computer and software) and coordinate other office tasks.
- Assist with orientation activities, student testing and work‑permit applications.
- Train and supervise student assistants.
- Perform related duties as assigned.
Graduation from high school and two years of responsible clerical experience, or a combination of education and experience equivalent.
Typing/Keyboarding RequirementIncumbents must be proficient in typing or keyboarding at a minimum of 45 words per minute. Applicants must certify in writing that they possess this skill; no typing test will be administered.
Knowledge- Modern office practices, procedures and equipment.
- Record‑keeping, report preparation and filing techniques.
- Correct English usage, grammar, spelling, punctuation and vocabulary.
- Oral and written communication skills.
- Interpersonal skills using tact, patience and courtesy.
- Basic subjects taught in District schools (arithmetic, reading, writing, grammar, spelling).
- Telephone techniques and etiquette.
- Provide clerical support to a counseling office.
- Perform independent clerical and technical services.
- Register and schedule students accurately.
- Communicate effectively both orally and in writing.
- Establish and maintain cooperative relationships with others.
- Learn and apply laws, rules and regulations related to assigned activities.
- Maintain records and prepare reports.
- Operate a computer and associated software.
- Organize and prepare data for records and reports.
- Manage work with interruptions and meet deadlines.
- Type at an acceptable rate of speed.
School office environment with constant interruptions. Physical demands include prolonged sitting, use of a computer keyboard, reading and writing, speaking and hearing, and bending or crouching to retrieve files.
SalaryPUSD Classification Salary Range: $20.15 – $25.76 per hour. Anticipated Hiring Salary Range: $20.15 per hour (Step
1) – $23.36 per hour (Step
4).
