Current Opening:
One Full-Time position (30 – 40 hours per week)
Provides administrative support as directed to the Senior Leadership team including CEO, COO, CFO, and CNO, members of the Board of Directors, medical staff and the efficient and effective operations of the Administrative Office.
ESSENTIAL FUNCTIONS:- Relieves Executive Assistant/Office Manager/Senior Leadership of routine matters within the scope of authority of the position, or as directed.
- First in line to greet staff and attend to visitors in the administrative office with a focus on customer service.
- Types correspondence, reports, and related documents for the Board of Trustees, Chief Executive Officer, and Senior Leadership.
- Organize, file, and maintain departmental files in a structured manner for easy access by senior leadership team. Note due dates of essential correspondences e.g. state licenses and initiate and manage to completion.
- Maintain Board Policies and Procedures by the laws including bylaws, directory of directors, board minutes, etc.
- Prepare materials required for monthly meeting of the Board of Trustees and ensures delivery to board members on a timely basis.
- Maintain electronic board packets. As needed attend meeting of the Board of Trustees, District Board Meeting, and Finance Committee meetings.
- Prepare agenda items and provide notice to attendees of meetings, record minutes and maintain files for historical records.
- Collect data, prepare various administrative reports as necessary, and submit reports in a timely manner, to include annual hospital, care center, and assisted living license applications such as management reports, annual surveys, etc.
- Maintain appointment calendars for designated administrators. Inform senior leadership of schedules meetings, appointments, due dates, etc.
- Assist in the direction of use of meeting rooms and facilities at PVHC and other locations as needed for meetings and events.
- Screen incoming calls providing stellar customer service, redirecting callers when appropriate, and take messages for individuals where applicable.
- Collect mail and distribute to members of the administrative office or otherwise redirect to other departments as needed.
- Act as a resource for senior leadership team in the operation of applicable software used to manage processes and documents in the organization
- Process invoices for payment including all paper, electronic, credit card, or other invoice as required.
- Maintain facility providers on call calendar for emergency department, hospitalist, OB/GYN, midwifery and PEDS, and distribute accordingly.
- Maintain office supplies inventory including water, tissue, masks, hand sanitizer, etc. and keep working environment free of clutter, trash, old newspapers, dead plants and expired food in refrigerator.
