Senior Office Assistant for Athletics and Agriculture/Business/Communications/Equine Division
This position performs a variety of office support and/or clerical tasks for one or more departmental divisions, centers, or specific programs, including reception, word processing, record keeping, tracking, scheduling, mailing, file maintenance, inventory tracking, budget monitoring/recording, and other related activities. The role is budgeted for up to 1,782 hours per fiscal year, split between Athletics (1,110 hours) and Academic Affairs (672 hours).
Responsibilities- Initiate, process, and review routine and/or specialized paperwork, forms, reports, and confidential information related to assigned responsibilities.
- Perform clerical duties such as screening incoming calls, taking and transmitting messages, distributing mail, making photocopies, performing data entry, scheduling appointments, maintaining calendars, typing, and word processing.
- Respond to requests for information in person, via e‑mail, and over the phone; answer routine questions and provide information; direct visitors to appropriate locations.
- Prepare and enter information into documents, spreadsheets, travel authorizations, requisitions, solicitation documents, invoices, rosters, work orders, databases, logs, and other related areas.
- Draft and type business documents including letters, memos, charts, newsletters, technical specifications, and other related documents.
- Conduct routine and/or specialized activities and research within assigned area of responsibility.
- Set up and file documents alphabetically, numerically, or by other prescribed methods.
- Monitor and maintain inventory, supplies, equipment, and other related items; initiate service and/or repairs when necessary.
- Assist in monitoring budgets, tracking and monitoring revenues and expenditures to ensure compliance with specified budgetary constraints.
- Proctor in‑class and make‑up exams.
- Coordinate applicable faculty and student activities and special events.
- Coordinate course scheduling and building processes.
- Administer, compile, and mail student evaluations for faculty members.
- Maintain course schedule building processes.
- Maintain records and information on former, current, and prospective students.
- Facilitate the implementation of admission processes.
- Take minutes and coordinate the scheduling and distribution of materials for Board and/or faculty meetings.
- Support full‑time and adjunct/part‑time faculty and athletic staff.
- Create, update, monitor, and maintain academic and athletic web pages.
- Monitor and maintain budgets.
- Plan and coordinate home athletic events and special events.
- Support programs, processes, and activities, including Game Management, Athletics Statistics Program, Athletic Schedules, Contracts, Trapper Booster Club functions, and Compliance Programs.
- Provide clerical and administrative support.
- High School Diploma or equivalent (G.E.D.) and a minimum of one year of office services, clerical, or related administrative services experience; or an equivalent combination of education and experience sufficient to perform the essential duties.
- Acceptable background check.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Basic customer service skills and principles.
- Keyboarding skills and familiarity with keyboarding techniques.
- Basic mathematical skills and bookkeeping principles.
- Modern office procedures, filing, records‑keeping, and use of office equipment.
- Basic budgeting principles.
- English language, grammar, and punctuation proficiency.
- Strong interpersonal, communication, and organizational skills.
- Ability to handle multiple tasks simultaneously and prioritize responsibilities.
Typical duties involve stooping, crouching, reaching, standing, walking, pushing, pulling, lifting, and repetitive motions. Light work requires exerting up to 20 pounds occasionally. Incumbents may be subjected to extreme temperatures and travel. Athletics positions may require occasional evenings and weekends.
