Child & Family Support Services (CFSS) is a behavioral health agency providing in-home and community-based services to children, young adults, and families throughout Arizona. We are seeking a Regional Administrative Assistant – Northern Arizona to support the administrative and operational needs of our Northern Arizona locations.

This position is based in Prescott Valley and serves as an important connection between our Northern Arizona offices and the CFSS team in Phoenix. The Regional Administrative Assistant will provide administrative support, assist with front desk coverage, coordinate site and facility needs, support the Northern Arizona vehicle fleet, and regularly visit CFSS locations throughout the region.

The ideal candidate is organized, resourceful, observant, and comfortable working independently. This person should have a strong agency-wide perspective and the ability to recognize when a site, facility, process, or resource may not meet CFSS expectations, policies, procedures, or regulatory requirements. Job Responsibilities:
  • Support administrative operations across CFSS Northern Arizona locations, including Prescott Valley, Flagstaff, Cottonwood, Kingman, Bullhead City, and Lake Havasu City.

  • Provide front desk and administrative coverage at the Prescott Valley and Flagstaff locations as needed.

  • Regularly visit Northern Arizona locations to assess office conditions, organization, safety, functionality, and overall readiness.

  • Monitor site needs and identify areas requiring attention, repair, replacement, improvement, or follow-up.

  • Evaluate office and clinic environments for consistency with CFSS policies, procedures, agency standards, licensing requirements, and operational needs.

  • Communicate site concerns and recommendations to the Director of Administrative and Facilities Services and appropriate team members.

  • Coordinate repairs, maintenance, and other facility services with outside vendors and contractors.

  • Communicate with vendors regarding scheduling, access, service needs, and completion of work.

  • Follow up on outstanding facility and maintenance requests to ensure issues are resolved appropriately and timely.

  • Maintain and coordinate the Northern Arizona CFSS vehicle fleet, including scheduling maintenance, inspections, repairs, and other vehicle-related needs.

  • Monitor the condition and cleanliness of company vehicles and coordinate appropriate follow-up.

  • Order and distribute office supplies, equipment, and other resources needed by Northern Arizona locations.

  • Coordinate catering and other administrative arrangements for meetings, trainings, and agency events in Northern Arizona.

  • Maintain accurate records and documentation related to facilities, vehicles, supplies, vendors, and other assigned responsibilities.

  • Serve as a reliable point of communication between Northern Arizona locations and the Phoenix corporate office.

  • Develop positive working relationships with employees at each location while maintaining an agency-wide perspective and consistent CFSS standards.

  • Use sound judgment when identifying issues and determining when matters should be addressed independently or escalated to the appropriate corporate team member.

  • Maintain confidentiality and handle sensitive agency information appropriately.

  • Travel regularly throughout Northern Arizona to support CFSS locations and operational needs.

  • Participate in special projects and other administrative or operational assignments as needed.

  • Perform other duties as assigned.
