Dental Front Office Receptionist Position Summary

We are looking for a friendly, dependable, and organized Dental Front Office Receptionist to provide an excellent experience for our patients while supporting the daily operations of the practice.

The Front Office Receptionist is often the first and last person a patient interacts with and plays an important role in creating a welcoming, professional, and efficient office. This position requires strong communication skills, attention to detail, the ability to multitask, and a willingness to follow established office systems and protocols.

Primary Responsibilities Patient Experience & Communication
  • Greet patients warmly and professionally.

  • Answer phones promptly and professionally.

  • Schedule new and existing patients appropriately.

  • Respond to patient questions and concerns with patience and professionalism.

  • Help patients understand appointments, treatment plans, financial arrangements, and office policies.

  • Maintain a positive and welcoming front-office environment.

Scheduling
  • Maintain a full and productive provider and hygiene schedule.

  • Schedule patients according to established office scheduling protocols.

  • Confirm upcoming appointments and fill cancellations promptly.

  • Schedule emergencies and PFEs appropriately throughout the business day.

  • Maintain appropriate provider scheduling columns and appointment lengths.

  • Follow established protocols for changes to provider schedules and office hours.

  • Communicate schedule changes promptly to the appropriate team members.

Check-In & Check-Out
  • Verify patient demographics, insurance information, forms, and necessary documentation.

  • Collect copays, deductibles, patient portions, and outstanding balances when appropriate.

  • Schedule recommended treatment and future appointments before patients leave.

  • Provide receipts and necessary financial information.

  • Ensure patients leave with a clear understanding of their next steps.

Insurance & Financial Responsibilities
  • Verify insurance benefits and eligibility.

  • Assist with treatment estimates and financial arrangements.

  • Submit and follow up on insurance claims as assigned.

  • Obtain necessary signatures and documentation.

  • Help resolve outstanding insurance or patient balances.

  • Accurately document patient communications and financial information.

Administrative Responsibilities
  • Maintain accurate patient records in the practice-management software.

  • Monitor email, voicemail, and other assigned communication systems.

  • Scan and upload documents to the appropriate patient records.

  • Maintain patient confidentiality and follow HIPAA requirements.

  • Complete assigned reports and administrative tasks accurately and on time.

  • Follow all established office policies, systems, and protocols.

Teamwork
  • Communicate professionally and respectfully with doctors, hygienists, assistants, management, and other front-office team members.

  • Help other team members when needed.

  • Participate in team meetings and training.

  • Accept coaching and feedback professionally.

  • Ask for clarification when unsure rather than making unauthorized changes.

  • Help maintain a positive, solutions-focused workplace.

Qualifications
  • Dental front-office experience preferred.

  • Experience with dental practice-management software preferred.

  • Strong customer-service and communication skills.

  • Excellent organization and attention to detail.

  • Comfortable discussing treatment costs and collecting payments.

  • Ability to multitask in a busy dental office.

  • Dependable, punctual, and professional.

  • Ability to learn and consistently follow established systems and protocols.

  • Professional appearance and demeanor.

  • Ability to maintain patient and employee confidentiality.
