Overview

For our commercial departmente are seeking a highly organized and proactive:

Administrative
Assistant

ROLE
  • Organize complex international travel itineraries and ensure schedules are optimized in line with colleagues’ agendas
  • Prepare and reconcile travel and expense reports accurately and on time
  • Coordinate on‑site customer and prospect visits, ensuring seamless logistics (agenda alignment, meeting rooms, hotel bookings, transportation, restaurant arrangements)
  • Guarantee a smooth and professional visitor experience from arrival to departure
  • Manage calendars autonomously, handling scheduling, prioritization, and conflict anticipation
  • Organize internal and external meetings, conference calls, and workshops
  • Prepare meeting agendas, collect materials, and support follow‑up actions
  • Provide day‑to‑day administrative support to multiple teams
  • Prepare documents, presentations, and reports using Microsoft Office tools
  • Maintain accurate records and ensure proper document organization
PROFILE
  • Flexible, adaptable, and able to manage multiple priorities efficiently
  • Native French speaker, with a good level of English ( B2 minimum), any additional language is a plus
  • Proactive, service‑oriented, and capable of anticipating needs with strong ownership
  • Excellent organizational skills and strong attention to detail
  • Strong communication skills and a professional demeanor
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Experience supporting multiple teams simultaneously is an advantage
  • Knowledge of business etiquette and hospitality best practices is a plus
  • Positive attitude, team spirit, and ability to remain calm under pressure
  • High level of confidentiality, discretion, and reliability
  • Problem‑solver with initiative and a hands‑on mindset
